Position Description:
Sustainable Horizons Institute (SHI) is seeking a Full Time Program Coordinator to assist with a science and engineering program that connects undergraduate and graduate students and their college professors to learning and research opportunities at or with multiple government funded research laboratories across the nation.
Reporting to the President, the Program Coordinator will work closely with SHI staff, program sponsors and participants. Responsible for providing a variety of high-level program support to Senior Management and Program Dept. to ensure organizational goals and objectives are accomplished. Core responsibilities include program coordination and management, tracking and reporting on various programs, preparing forms, monitoring Zoom rooms, travel arrangements, event planning, communicating with participants, collaborators, staff, and vendors, maintaining calendars, coordinating meetings and schedules, and some project management. Position may require occasional evening and weekend hours, with potential travel as needed.
This position requires a proactive, solution-oriented professional with exceptional computer and communication skills, meticulous attention to detail, and a self-starting approach. The ideal candidate thrives in collaboration, demonstrates excellent organizational abilities and a dedication to helping others develop careers in science, technology, engineering, and math.

This is a hybrid working experience for an exceptional candidate with occasional travel and onsite in the Palm Desert area. Preference will be given to Coachella Valley residents.
Responsibilities:
- Organize program activities including collaborating with SHI staff, academic institutions, laboratory scientists, and other volunteers.
- Manage virtual programs or travel to program events and provide on-site support, including Zoom sessions and Breakout Rooms for program participants; ensuring program goals and objectives are met.
- Develop and monitor program timelines and ensure successful and on time completion of tasks.
- Compile and format information in a relevant format for reports, presentations and proposals including data extracting, analysis, and developing charts on participants and program impacts.
- Prepare, monitor, and update online program applications and tracking sites.
- Create, administer, and compile program survey data.
- Update Program schedules as needed.
- Assist team members to gather information for newsletters and social media posts, enhancing SHI’s visibility.
- Assist in managing organization’s social media accounts cultivating a positive public image by curating content that reflects the values and mission of the organization.
- Assist with planning and organizing program events including participant travel, catering and hotel accommodations, registration processes for conferences and events, and other logistical needs, ensuring smooth execution.
- Available for occasional travel to conferences, team meetings, and other business-related events.
- Other duties as assigned.
Preferred:
- Coachella Valley resident
- Bachelor’s degree preferred. Relevant certifications or equivalent work experience will be considered.
- A minimum of five years’ experience providing high-level program coordination and/or administrative support to senior management
- Experience using a variety of computer programs to organize, compile, visualize, and report data.
- Proven experience managing calendars, organizing meetings, and coordinating travel arrangements.
