Inventory and Facility Manager
REPORTS TO Director of Nursing
LOCATION : West Hills CA.
Must be willing to travel to All Locations Across Southern CA
SUMMARY
The Inventory and Facility Manager is responsible for the planning and coordination of the Company’s inventory, purchasing and maintenance of all medical supplies and equipment, maintaining life and safety standards of the facilities.
ESSENTIAL DUTIES AND RESPONSIBILITIES
Inventory / Materials Manager
1. Primarily through utilization of Hybrent and other means responsible for the purchase and / or contracting of materials, supplies, equipment and services for the Company and its facilities.
2. Demonstrates superior proficiency, knowledge and consistent utilization of Hybrent and is the Company’s primary interface with Hybrent and Hybrent-related support personnel.
3. Establishes and maintains policies and practices ensuring honest, fair, and ethical relationships with vendors while guaranteeing quality and safe patient care in a cost- effective manner
4. Obtaining invoices from vendors within 48 hours.
5. Monitors and maintains optimum inventory levels to (i) meet clinical operational requirements while minimizing costs and premium transportation charges, and (ii) meet departmental budget goals.
6. Collaborates with others to proactively determine supply needs and when specific requests are made
7. Researches best products, prices and vendors that can supply quality products on time.
8. Responsible for ensuring that supplies ordered and received are according to specifications / purchase orders.
9. Ensures accurate and timely inventory cost reporting and that invoices provided to CFO in a timely manner.
10. Recommends solutions to existing processes to reduce waste and increase quantity.
11. Maintains appropriate communication and good interpersonal skills with members of management, providers, staff and patients to ensure coordinated efforts and provision of high-quality services are performed.
12. Responsible that all equipment is functioning properly and Preventative maintenance performed.
13. Responsible for Waste Management, Medical Gasses, Generator / UPS, and Linen services.
14. Maintains that all facility Life Safety checks are performed on a monthly and annual basis.
15. Maintains professional standards and procedures, complies with Corporate policies and applicable regulations.
16. Performs other related work as required.

WORK ENVIRONMENT AND CONDITIONS
Work is performed in a medical practice environment. May involves frequent exposure to communicable diseases, toxic substances, ionizing radiation, medicinal preparations and other conditions common to a center environment. Must be able to work efficiently under high pressure and effectively resolve conflicts as they arise.
KNOWLEDGE, SKILLS AND ABILITIES
1. Minimum 2-3 years’ experience of purchasing functions within a medical ambulatory surgical / medical facility or hospital environment.
2. Knowledge of all surgical and medical supplies and equipment utilized in an ambulatory surgical center.
3. Knowledge of sterile techniques as it applies to supply handling.
4. Knowledge of inventory management, clinical documentation inventory control and contract compliance.
5. Must maintain a consistent high standard for materials management practices, inventory controls, cost containment, and uphold the mission of the facility.
6. Solid understanding of supply chain and inventory management systems.
7. Ability to multi-task while completing departmental and company goals.
8. Skill in documenting and maintaining inventory records.
9. Ability to research and determine appropriate actions where needed.
10. Ability to work with all levels of employees, providers and outside vendors.
11. Ability to work under pressure to meet company deadlines.
EDUCATION
High School Diploma required.
EXPERIENCE
- Must have an understanding and knowledge in Ambulatory Surgical Centers with the various instruments and supplies needed.
- Previous experience in a surgical facility is preferred.
- Previous experience working with all levels of employees.
- Experience managing multiple priorities.
- Minimum of 2-3 years’ work experience in materials management and purchasing required.
Computer experience required
Microsoft Outlook, Word, Excel and inventory control systems.
Working knowledge of medical terminology
LANGUAGE SKILLS
Ability to read and interpret documents such as safety rules, operating and maintenance instructions, and procedure manuals. Ability to write routine reports and correspondence. Ability to speak effectively before groups of customers or employees of organization.
MATHEMATICAL SKILLS
Ability to add, subtract, multiply and divide in all units of measure, using whole numbers, common fractions, and decimals. Ability to compute rate, ratio and percent, and to draw and interpret bar graphs.
REASONING ABILITY
Ability to apply understanding to carry out instructions furnished in written, oral, or diagram form. Ability to manage complications involving several variables in standardized situations.
PHYSICAL DEMANDS
Work requires full range of body motion including manual and finger dexterity, as well as eye-hand coordination. Frequent standing, sitting and walking for prolonged periods of time, as well as some bending and stooping. Ability to use department equipment. Occasional lifting and carrying up to 25 pounds. Normal or corrected vision to levels that allow performance of tasks inherent to medical practice and common office work. Hearing within the acceptable range for telephone contacts.
