What are the responsibilities and job description for the People Ops & Talent Coordinator position at Swaybox Studios?
We’re an animation studio built on creativity, collaboration, and a deep love for storytelling—and we’re looking for a People Operations & Talent Coordinator who shares that energy. In this role, you’ll support the full employee and lifecycle, from recruiting and onboarding to employee experience and offboarding.
You’ll play a key role in keeping our day-to-day people operations running smoothly while supporting the recruitment and coordination of our amazing in-house and remote talent. Whether helping onboard a producer or scheduling interviews for a new production coordinator, you’ll help build an environment where our artists and teams can do their best work.
- Coordinate onboarding and offboarding for both full-time staff and project-based hires (artists, production crew, etc.).
- Maintain accurate employee and contractor records in our HR systems.
- Support benefits administration, time-off tracking, and employee document management.
- Assist with internal communications, company events, and culture-building initiatives.
- Partner with recruiting leads to support candidate sourcing, interview scheduling, and job postings.
- Track and maintain our talent database—keeping tabs on availability, past collaborators, and incoming inquiries.
- Assist with contracts, NDAs, onboarding paperwork, and compliance documentation.
- Help ensure a welcoming, organized, and creative-forward hiring experience.
- Collaborate with production management to forecast upcoming talent needs by discipline (e.g., animators, layout, compositors).
- Help organize talent check-ins and stay in touch with freelance artists during and between projects.
- Maintain clarity on studio workflows and timelines so People Ops can best support team needs.
- Help coordinate team events, wrap celebrations, wellness initiatives, and studio announcements.
- Support HR programs and contribute ideas to make the studio inclusive and welcoming for all.
- Be a friendly, resourceful point of contact for employee questions and needs.
- 1–3 years of experience in HR, recruiting, or production coordination—experience in animation or a creative studio is a big plus.
- Exceptional organization skills, attention to detail, and ability to manage multiple priorities.
- Great people skills: empathetic, warm, and genuinely excited to support artists and teams.
- Proficient in Google Workspace; experience with HRIS/ATS platforms (like BambooHR, Greenhouse, Airtable, etc.) is a plus.
- Comfortable navigating a mix of full-time, freelance, and remote/hybrid workflows.
