What are the responsibilities and job description for the Executive Assistant position at Swedish American?
POSITION SUMMARY:
Provides a variety of administrative, secretarial and project support to assigned Vice President(s) and/or Directors of department. Functions independently as an integral member of the department, enhancing communication, teamwork and operations. Participates in continuous quality improvement activities and educational experiences in support of departmental philosophy and objectives, as well as Health System initiatives.
EDUCATION/TRAINING:
High school graduate with previous experience as an executive level secretary required. Proficient in Microsoft Office software including Word, PowerPoint, and Excel
LICENSURE/CERTIFICATION:
Microsoft Office Specialist Certification preferred.
EXPERIENCE/SKILLS/ABILITIES:
Excellent verbal, written and critical decision-making skills required. Ability to work under pressure and organize multiple assignments, exercising independent judgement. Excellent organizational and interpersonal skills and ability to work with Board Members, Physicians, Administrators and all levels of staff and Business/Industry leaders within the community. Exceptional grammar, medical terminology and transcription skills required.
Extensive knowledge of Microsoft Office: specifically Outlook, Word, PowerPoint, and Excel. The following abilities are preferred:
Excel: navigate through a worksheet, apply and modify cell formats, create and apply cell styles, manipulate window views, create charts based on worksheet data.
Outlook: configure voting and tracking options, send messages to a contact group, manage automatic message content, create and manipulate appointments, events and meeting requests, create a group calendar.
PowerPoint: create slide presentations, including modifying themes, entering and formatting text, manipulating graphical objects and images.
Word: manage document version, share documents, apply a template to a document, apply flong and paragraph attributes, create and manipulate tables, apply themes, create and modify headers and footers, insert and modify comments, setup and execute mail merge.
Successful completion of annual job-specific and organizational competencies and skill verification tools required.
