What are the responsibilities and job description for the Front Office Receptionist position at Sweet James LLP?
Growing, fast-paced law firm is looking for a bilingual front office receptionist. The candidate must be well organized and have attention to detail in order to perform administrative duties efficiently. We are looking for stable, long-term team members looking for a home to grow and are not afraid of putting in hard work.
Key Responsibilities:
- Communicating with customers via phone, email, and in-person, and directing callers or in-person guests to the appropriate person or department.
- Receive, sort, and distribute mail and prepare and process outgoing packages and mail
- Collect and organize documents including sensitive personal information
- Perform filing, faxing, scanning, copying, and data entry projects
- Assure that the reception area, conference rooms, and kitchen area are kept neat and tidy at all times
- General administrative duties as required to meet business needs.
- Assist the legal team prepare demand packages, resolve, and close client’s cases.
- Monitor and prioritize cases as statutes of limitations are approaching.
- Ensure the client is informed of all case progress and status changes
- Manage case status updates and document all information in CRM
Qualifications:
- Bilingual preferred (English and Spanish)
- A solid work ethic and a positive attitude
- College degree and at least one year of relevant experience or an equivalent combination of education and experience.
- Ability to work well under pressure while maintaining a good sense of humor
- Strong customer service experience and excellent attention to detail
- Data-entry experience and typing skills
- Ability to perform repetitive tasks quickly and accurately
- Excellent written and verbal communication skills
Must be comfortable working in a fast-paced environment
