The Office Manager conducts the day to day operations in the assigned outpatient clinic. This position is responsible for ensuring that a high level, quality patient care is given. The Office Manager will monitor patient volume, quality of care, patient satisfaction, staff performance and employee engagement. The Office Manager performs a variety of duties in accordance with federal, state and local regulations along with established policies and procedures of the practice.
Job Tasks :
- Oversees daily operations of the assigned clinic.
- Operates the clinic within budget guidelines by monitoring and controlling expenses and ensuring proper patient billing procedures are followed.
- Responsible for providing adequate staffing of the clinic, according to projected patient volume and employee scheduling preference.
- Monitors and evaluates employee performance including reviews. Conducts disciplinary action meetings, as needed.
- Ensures all employees receive effective training that is position specific by following company training procedure.
- Ensures fair and consistent administration of all policies.
- Develops and maintains an atmosphere of diversity and inclusion.
- Plans and participates in all employee events, including employee recognition.
- Oversees employee timecards in Paylocity for timely payroll processing.
- Monitors and maintains supply inventory through effective par levels and demonstrates financial responsibility when purchasing.
- Address IT concerns to ensure that all internal systems continue to function uninterrupted.
- Maintains assigned facility by submitting maintenance requests.
- Oversees repairs and / or improvements to assigned facility.
- Coordinates and conducts monthly staff meetings to provide effective communication between office leadership and employees.
- Ensures that all areas of the clinic are maintained.
- Conducts safety and environmental audits on a monthly basis to ensure OSHA standards.
- Address customer complaints, as needed, and formulate an effective resolution plan.
- Ensures proper handling of cash payments and approves cash deposits.
- Meets with outside vendors.
- Organizes, plans, and manages time effectively.
- Available after regular business hours to address emergency situations, as needed.
- Completes all mandatory training as required.
- Performs other duties as assigned.

For locations that provide “after hours” clinic, the office manager is responsible for all operational aspects of the clinic including the after hours clinic.
