Description
As an Accounts Receivable Specialist, you will manage and maintain accurate records of receivables, ensure timely collections, and assist in the overall efficiency of accounting operations. The ideal candidate will possess strong communication and problem-solving skills, be proficient in accounting software, and have experience in managing complex customer accounts. This role plays a vital part in maintaining the dealership’s cash flow and financial health by ensuring the accurate and timely processing of payments and collections.
Responsibilities:
- Posts customer payments by recording cash, checks, and credit card transactions.
- Posts revenues by verifying and entering transactions from the lock box and local deposits.
- Summarizes receivables by maintaining invoice accounts; verifying totals; preparing reports.
- Protects the organization's value by keeping information confidential.
- Enthusiastically participates in educational opportunities.
- Collect on past due invoices by reaching out to customers via phone or email to guarantee payment
- Research discrepant amounts on customer accounts to reconcile and clear invoices, short pays, and overpays by creating spreadsheets, reviewing pricing, and working with departments within sales centers.
- Refund customer overpayments, returned products, and price corrections by pulling checks, invoices, correction backups, and pricing backups to justify the refund.
- Answer incoming customer, public, and sales center inquiries via phone or email to resolve concerns.
- Collect return checks by calling or emailing customers to retrieve payment by cash, cashier’s check, certified funds, or by credit card.
- Credit references for current customers so customers can set up credit with other vendors.
- Other duties as assigned.
Qualifications:
- Demonstrates a high “HQ” (Hospitality Quotient) consisting of kindness & optimism, intellectual curiosity, work ethic, empathy, self-awareness, and integrity
- Education: High school diploma or equivalent required; an associate degree in Accounting, Finance, or a related field is preferred.
- Experience: Minimum of 2 years of experience in an accounts receivable or general accounting role, preferably in the automotive or retail industry.
- Skills:
- Strong knowledge of accounts receivable processes, including billing, collections, and account reconciliation.
- Proficiency with accounting software (e.g., CDK, Reynolds & Reynolds, QuickBooks) and Microsoft Office, particularly Excel.
- Excellent communication skills for interacting with customers, vendors, and internal teams.
- Strong problem-solving skills to resolve discrepancies and handle disputes.
- Ability to prioritize tasks, manage time effectively, and meet deadlines.
- High level of accuracy and attention to financial details
- Strong organizational skills
Physical Requirements:
- Prolonged periods of sitting and working on a computer.
- Ability to lift files, open filing cabinets, and occasionally move office equipment or supplies, up to 20 pounds.
