JOB DESCRIPTION
Job Title: Scheduler (All Departments)
Non-Exempt Employee
Position Summary
Responsible for processing and scheduling all referrals to The Swift Institute.
I. Reporting Relationships:
Reports directly to the Director of Administrative Operations and/or the Department Manager.
II. Principle Accountabilities
Administrative
- Track and enter all referral requests in the log on a daily basis.
- Screen and schedule incoming referrals.
- Ensure complete and accurate demographic and current insurance information are entered into the EMR system.
- Verify eligibility and benefits for services.
- Obtain prior authorization if required for services as indicated by respective insurance.
- Utilize tools provided to determine patient financial responsibility.
- Document on benefits form as per protocol.
- Upon scheduling the appointment, must communicate financial responsibility to patient.
- Respond to providers’ questions, requests and concerns regarding the status of patient referrals, care coordination or follow-up status.
- Answer, respond and document phone calls, request and questions from patients in a timely manner. Calls must be accurately managed or redirected as appropriate.
- Maintain reasonable productivity numbers based on metrics set by department while also focusing on accuracy.
- Follow all protocols set forth by The Swift Institute for the scheduling of patients.
- Perform other duties as assigned.
III. Physical Requirements:

- The employee must occasionally lift and/or move up to 30 pounds
- Specific vision abilities required by this job include close, distance, color, and peripheral vision, and the ability to adjust focus
- The employee will have to spend long hours sitting and using office equipment and computers, which can cause muscle and eye strain
- Occasional stress from dealing with multiple tasks and patients
IV. Educational Requirements:
- GED or High School Education
- Minimum one year or recent experience working in a medical facility
V. Other Requirements
- Ability to balance team and individual responsibilities amd contributes to building a positive team environment.
- Knowledge of insurance, government payers and eligibility and benefits processes.
- Ability to respond promptly to patients’ needs
- Ability to maintain confidentiality; Listens to others without interrupting; Keeps emotions under control in stressful situations
- Prioritizes and plans work activities; Uses time efficiently.
- Ability to approach others in a tactful manner; Treat others with respect and consideration regardless of their status or position
- Ability and willingness to adapt to change in the work environment; Able to deal with frequent change, delays, or unexpected events.
- Knowledge of Intergy, Microsoft Office Applications, and the ability to operate basic Internet software. The individual should be able to operate a computer in order to accurately enter data, search for information, send and receive email and attachments. Must use the internet to access schedules, research insurance information, etc.

Job Type: Full-time
Pay: $18.00 - $21.00 per hour
Expected hours: 40 per week
