Job Title: Human Resources Administrative Assistant
Job Summary:
The Human Resources Administrative Assistant provides comprehensive administrative support to the Human Resources (HR) department. This role entails meticulous management of personnel records, the coordination of recruitment activities, and assistance with payroll and benefits administration. The HR Administrative Assistant is integral to ensuring operational efficiency within the HR department and acts as a key point of contact for employees and external stakeholders regarding HR matters.
Key Responsibilities:
- Administrative Support: Deliver high-level administrative assistance to the HR team, including managing correspondence, scheduling appointments, and maintaining accurate and organized filing systems.
- Recruitment Assistance: Facilitate the recruitment process by posting job openings, coordinating interviews, conducting background checks, and preparing employment offers and contracts. This pertains to employees & 1099 contractor positions.
- Employee & Contractor Records Management: Maintain precise and up-to-date employee records, encompassing personal information, employment history, performance evaluations, and attendance records.
- Onboarding and Offboarding: Conduct the onboarding process for new hires, including preparing necessary paperwork and facilitating orientation sessions. Manage the offboarding process, including termination procedures and exit interviews.
- Benefits Administration: Assist with creating and maintaining benefits administration, verifying timekeeping records, updating payroll information, and responding to employee inquiries regarding benefits.
- Compliance: Ensure strict adherence to HR policies and procedures, as well as federal, state, and local employment laws and regulations.
- Employee & Contractor Relations: Address employee inquiries and concerns promptly and professionally, providing accurate information and resolving issues efficiently.
- Reporting: Generate detailed reports on employee performance, benefits, and other pertinent HR-related metrics.
- Training and Development: Assist in the organization and facilitation of training programs and workshops.
- Liaison: Act as a liaison between the organization and external HR vendors.
Requirements and Skills:
- Preferred or equivalent work experience, Bachelor’s degree in Human Resources, Business Administration, or a related field.
- Proven experience in an administrative role, preferably within an HR department.
- Exceptional organizational, communication, and interpersonal skills.
- Proficiency in Microsoft Office Suite and HRIS systems.
- Comprehensive knowledge of relevant HR laws and regulations.
- Ability to maintain confidentiality and exercise discretion when handling sensitive information.
- Strong attention to detail and a high degree of accuracy.
- Ability to work both independently and collaboratively within a team environment.
- Excellent problem-solving and decision-making capabilities.
- Ability to manage multiple tasks and prioritize effectively.
Desired Qualifications:
- Experience with specific HR software platforms.
- SHRM or HRCI certification.
Job Types: Full-time, Part-time
Pay: $17.00 - $19.00 per hour
Expected hours: 25 – 38 per week
