JOB TITLE: Workforce Development Administrative Assistant
DEPARTMENT: Education Department, Workforce Development Section
REPORTS TO: Workforce Development Manager
POSITION SUMMARY: Supervised under the Workforce Development Manager. Workforce Development Administrative Assistant support to the Workforce Development Team, encompassing document preparation, calendar management, and logistics. It requires the development of efficient filing systems and handling correspondence while maintaining the confidentiality of records. The position also entails interdepartmental collaboration for organizing and facilitating events and inputting data into various reporting platforms. Effective communication and organizational skills are essential for successfully executing these responsibilities.
ESSENTIAL DUTIES AND RESPONSIBILITIES
- Provide comprehensive administrative support to the Workforce Development Team, including document preparation and editing.
- Oversee calendar management and expense report preparation for the Workforce Development Team.
- Implement efficient physical and digital filing systems for document management.
- Manage correspondence, including mail, emails, and phone calls, and address routine inquiries.
- Maintain meticulous records, such as program participant’s files, vendor contracts, and grant documents.
- Facilitate interdepartmental collaboration for events, meetings, and projects.
- Enter data into reporting programs and compliance sites and maintain documentation.
- Supports data management activities reporting.
- All other duties as assigned.
MINIMUM QUALIFICATIONS
- High school diploma or equivalent with two years of administrative support experience. Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and ability to learn new software systems.
- Strong organizational abilities and attention to detail
- Ability to multitask and prioritize effectively
- Must be familiar with federal grant requirements.
- Must have exceptional communication and writing skills.
- Must have exceptional customer service skills.
Job Type: Full-time
Pay: $20.00 - $25.00 per hour
