Job Title: People and Culture Coordinator
Location: War Memorial Building, 401 Van Ness St. San Francisco, CA 94102
Schedule (Days and Hours): Monday-Friday 9am – 5pm

Salary Range (Hourly if Non-Exempt, Annual if Exempt): $31.73 to $34.16 per hour
Summary (of position):
Swords to Plowshares seeks People Coordinator. This position will report to the People Resources Manager and, as part of the People and Culture department, support the organization in all areas including cultural humility, employee well-being and culture, workforce improvement, staff training and professional development tracking. The People and Culture Coordinator is part of the People and Culture team and will work closely with the People Generalist, People Resources Manager, DEI specialist, and the Director of People and Culture.
The successful candidate will have some HR experience working in a community-based setting and working with staff from diverse backgrounds, including former or current veterans, people with lived experience, and people that hold identities that have been marginalized by society. This position is responsible for supporting Swords’ and individual employees in a wide range of areas, including benefits, performance and interpersonal issues, recruiting and onboarding, employee morale and retention, and training.

Responsibilities:
HR Administration & Compliance
- Serve as the initial point of contact for employees and external service providers with HR-related inquiries.
- Ensure compliance with local, state, and federal employment laws and regulations (e.g., leaves of absence, ADA, employee relations, and compensation).
- Assist in completing HR-related forms (e.g., unemployment and disability claims, annual EEOC reporting, employment verifications).
- Maintain and update the HRIS (Kronos), ensuring accurate employee data.
- Compile reports from HR systems as needed.
- Assist in managing new hire orientation logistics (e.g., updating org charts, staff directories).
- Support the complete offboarding process, including terminations, exit interviews, final pay.
- Maintaining internal drives and several logs and trackers.
Culture & Employee Relations Support
- Assist in coordinating and organizing employee engagement initiatives (e.g., annual summer picnic and holiday party).
- Support the People and Culture Department in addressing employee relations matters, helping document concerns and resolutions.
- Assist in tracking and evaluating employee morale, including survey distribution and feedback collection.
- Help facilitate employee recognition programs and engagement efforts.
Training & Learning Coordination
- Assist in maintaining the training calendar and tracking employee participation in required training (e.g., HIPAA, safety, management development).
- Coordinate logistics for training sessions, including scheduling, materials, and vendor communication.
- Support the People Resources Manager with performance appraisal tracking and distribution.
- Track and maintain employee certifications and licenses, including DMV Pull Program, Bar renewals, and TB testing compliance.
Collaboration & Support
- Work closely with the People Resources Manager and Director of People & Culture to ensure all needs of the department are met.
- Provide administrative support for HR projects and process improvements.
Desired Qualifications:
Experience:
- 1-3 years of HR experience (preferably in a nonprofit or mission-driven organization).
- Knowledge of basic HR functions, employment laws, and best practices.
- Strong attention to detail, organization, and ability to manage multiple priorities.
- Excellent communication and customer service skills.
- Must be detail oriented.
- Experience with HRIS systems and Microsoft Office Suite.
- Strong grasp of Zoom, Teams, Outlook, Zen Desk, and other technology required for the role.
- Time management and confidentiality are required.
