This role plays a crucial part in driving efficient sales operations by managing user access and permissions within Salesforce and MobileForce platforms, as well as ensuring accurate data capture in the ERP system. The individual will work closely with the sales team to coordinate equipment orders, freight logistics, and timely delivery. Responsibilities include preparing quotes, maintaining sales order accuracy, analyzing business data, and tracking unit sales from order through to delivery. The position also involves supporting the Sales and Service teams to optimize customer satisfaction, maintaining price sheets, and managing system integrations. Additionally, the individual will be the main point of contact for pricing inquiries, ensuring the alignment of sales-related systems with organizational goals, and driving performance through regular reporting and workflow optimization.

Essential Duties and Responsibilities

The essential functions include, but are not limited to the following:

  • Oversee user access and permissions within Salesforce and MobileForce platforms, ensuring that the right individuals have the appropriate level of access to tools and data
  • Effectively communicate with internal stakeholders and vendors
  • Coordinates with freight & logistics with equipment delivery for service and sales-related matters
  • Captures accurate and complete information in the ERP
  • Ensure that all sales order information and schedules are accurate and entered properly into CRM
  • Generate, maintain, and analyze sales reports to support decision-making and performance tracking
  • Liaise with the Original Equipment Manufacturers (OEM) regarding equipment orders
  • Document and maintain tracking of unit sales to monitor the production status of order through to delivery
  • Utilize CRM to store sales documents and track customer and sales history
  • Ensure Sales Representatives provide all required information through the sales process and follow up as required
  • Develop, maintain, and update pricing sheet templates in line with sales and vendor requirements ensure timely collection and updates of the price sheets
  • Manage data export and import processes to ensure seamless integration between systems
  • Serve as the primary point of contact for the sales team regarding pricing inquiries, updates, and adjustments
  • Configure and maintain sales-related systems to ensure they align with business objectives and workflows

Minimum Qualifications

  • Proven experience in sales administration or similar role, preferably with a focus on pricing, system management, and reporting
  • Proficiency in Salesforce and/or MobileForce, with experience in system configuration and maintenance (Salesforce certification is preferred)
  • Strong organizational and multitasking skills, with an ability to prioritize tasks and meet deadlines
  • Excellent communication skills, both written and verbal, with the ability to liaise effectively with sales teams, and internal departments
  • Ability to work independently and as part of a collaborative team
  • Experience with ERP systems (e.g. Sage 100) and reporting tools is a plus
  • Strong knowledge of Excel
