As a Sales Support Specialist, youll be at the heart of keeping our business humming. This role is responsible for project management from Order to delivery. From coordinating key administrative tasks to fostering seamless cross-team communication, youll help drive the efficiency that powers our success. Specialists are all about proactive organizationmanaging workflows, maintaining precise records, and ensuring data accuracy to track opportunities and resources effectively. In this role, youll also support invoicing, and business development efforts, aligned with our strategic goals. This role is designed to keep our operations efficient and focused, so our team can deliver meaningful results.
Please note this is NOT a Sales Position; this role coordinates after the sale processes including ordering & tracking through delivery & billing.
Essential Duties and Responsibilities
The essential functions include, but are not limited to the following:
- Approval and reconciliation of order confirmations and vendor invoices against purchase orders
- Communicate with vendors, customers, and parts/sales/service departments as related to project
- Create delivery & warranty registration packages including title transfers for motor vehicles.
- Create sales packages via data entry of sales orders, purchase orders, & work tickets for production
- Prepare sales packages for account billing and pay applications
- Process accessory item purchasing to meet install and delivery timelines
- Provide sales support by requesting vendor quotes or stock inventory pricing and availability
- Receive and communicate sales leads via phone, email, & website to sales department
- Record keeping for sales department of sales goals & financial forecasting
- Review and execute construction contracts while providing supporting documentation as required
- Source product and company information to assist sales in generating quotes
- Track vendor completion, shipping, inspections, and deliveries for each sale
- Establishes and maintains strong working relationships with all levels of the organization including co-workers, management, customers, and vendors as applicable
Minimum Qualifications
- 2 years experience in sales support, vendor procurement, and/or a client success role
- Proficient with Microsoft Office Suite: Excel, Word & Outlook
- Project Coordination experience a plus
- Familiarity or hands-on experience with a CRM (e.g. Salesforce)
- Experience with an ERP (Sage Software experience is a plus)
- Excellent organizational skills, high attention to detail and the ability to work effectively with limited guidance
- Demonstrated ability to manage multiple tasks effectively, adapting to shifting priorities and deadlines
- Passion for thinking creatively to solve problems and drive innovative solutions
- Bright, energetic professional with outstanding interpersonal skills with the highest personal and business integrity
