We are seeking a detail-oriented and organized Service Administrative Assistant to support our Western Washington service team. This role is responsible for assisting in the creation and closing of work tickets, managing filing systems, assisting internal requests, and handling incoming customer calls. The ideal candidate will have strong organizational skills, the ability to multitask, and excellent communication abilities.
Essential Duties and Responsibilities
The essential functions include, but are not limited to the following:
- Work Ticket Management: Create, update, and transcribe work tickets accurately and in a timely manner.
- Filing & Documentation: Maintain organized records of work orders and other administrative documents (both digital and physical).
- Interdepartmental communication: Process and track internal requests through other departments, ensuring timely solutions.
- Phone Handling: Answer and direct phone calls professionally, answer customer inquiries, transfer calls to the proper departments, and relay messages as needed.
- Administrative Support: Assist with general office duties such as data entry, scheduling, and correspondence.
- Coordination: Work closely with customers, technicians, vendors, subcontractors, and other departments to ensure smooth workflow and effective communication.
- Expense Reports: compile and prepare monthly expense reports from service technicians
Minimum Qualifications
