Job Summary:
We are seeking an organized and detail-oriented Executive Admin Assistant (EAA) to join our team. The ideal candidate will have excellent communication skills, be adept at multitasking, and thrive in a fast-paced environment. The EAA will be responsible for supporting the office's daily operations, ensuring smooth and efficient functioning of the office.
Key Responsibilities:
- Administrative Support:
- Manage and organize office communications, including emails, phone calls, and mail distribution.
- Coordinate and schedule meetings, appointments, and travel arrangements for staff.
- Assist in preparing the monthly Board report and ensure they are sent out in a timely manner each month.
- Attend Board meetings to take notes and type up Board meeting minutes.
- Maintain office supply inventory by checking stock to determine inventory level, anticipating needed supplies, placing and expediting orders, and verifying receipts.
- Document Management:
- Prepare, organize, and store documents electronically.
- Manage digital filing systems to ensure all documents are accessible and secure.
- Office Management:
- Oversee the maintenance of office equipment and coordinate repairs or replacements.
- Ensure the office environment is clean, safe, and conducive to work.
- Human Resources Support:
- Assist in onboarding new employees, including setting up workspaces, providing initial orientation, and managing paperwork.
- Assist with Employee terminations, including organizing the return of equipment and processing the exit.
- Maintain employee records and assist with HR tasks like payroll preparation.
- Financial Administration:
- Assist with the annual financial and security audits.
- Deposit checks.
- Scan and forward documents received in the mail.
- Customer Interaction:
- Serve as the first point of contact for visitors and clients, providing excellent customer service.
- Provide assistance to customers requesting due diligence documentation.
Qualifications:
- High school diploma or equivalent; further education or certification in office management/administration is a plus.
- Proven experience as an Office Administrator, Office Assistant, or similar role.
- Proficient in Microsoft Office Suite or related software.
- Excellent organizational and time management skills.
- Strong written and verbal communication abilities.
- Ability to work independently with minimal supervision and as part of a team.
- Discretion with confidential information.
