The Office Manager for a commercial painting company ensures seamless office operations and supports project execution through efficient file management, accurate documentation, and clear communication with internal and external stakeholders.Responsibilities : - Maintain and update job files using project management software for accurate documentation.- Process payroll and per diems, ensuring all documentation is submitted to the corporate office promptly.- Input project information into Procore and generate weekly reports for collections, CSI, and JOR tracking.- Prepare Work in Progress (WIP) reports and oversee the submission of subcontractor payment applications.- Verify Master Subcontractor Agreements and manage purchase orders to support project needs.- Coordinate with suppliers and vendors for materials, labor, and logistics for painting crews.-Handle customer pre-qualification paperwork and maintain effective communication to resolve scheduling or budget inquiries.- Oversee office inventory, procurement of supplies, and management of incoming / outgoing mail.Office Manager Requirements : - 3 years of experience in office management or administrative roles, ideally within construction or a related field- Strong proficiency in MS Office including Excel- Project management software experience strongly preferred
