This role is responsible for managing the full cycle of utility processes, from establishing accounts and coordinating vendor invoices to reconciling payments and assisting with month-end reporting. Key Responsibilities:
- Establish and manage utility accounts for facilities as needed.
- Coordinate the invoice process with utility vendors, ensuring accuracy and timeliness.
- Review, enter, and process utility invoices in the Accounts Payable (AP) system.
- Manage all phases of the utility process, including invoice gathering, review, entry, and payment requests.
- Address and resolve utility inquiries from vendors and facilities.
- Investigate and reconcile discrepancies in utility accounts.
- Ensure adherence to internal policies and procedures related to utility processes.
- Continuously evaluate and streamline utility processes for efficiency.
- Assist with month-end closing and reporting related to utility accounts.
- Obtain and process check copies for record-keeping.
- Coordinate weekly utility vendor payments and prepare checks and necessary documentation for mailing.
- Conduct vendor reconciliations and maintain accurate records.
- Support and collaborate with team members to achieve departmental goals.
- Serve as a leader and mentor, sharing knowledge and expertise with colleagues.
- Exhibit professionalism, respect, and compassion in all interactions.
- Uphold the highest standards of honesty and integrity in all duties.
- Perform additional tasks as assigned by management.
Qualifications & Skills:
- Experience in utility account management and/or accounts payable preferred.
- Strong knowledge of invoice processing and reconciliation.
- Proficiency in AP systems and accounting software.
- Excellent analytical, problem-solving, and organizational skills.
- Ability to communicate effectively with vendors, facility staff, and internal teams.
- Detail-oriented with the ability to prioritize tasks and meet deadlines.
- A team player who embraces company values and fosters a positive work environment.
- Education: Secondary Education Diploma or GED equivalent.
- Experience: Two (2) plus years of recent Utility experience or Accounts Payable preferred. Must have experience with the banking industry and financial concepts.
