Job Description:
We are looking for an individual who would love to take the place of our current executive assistant, who is pregnant and will be stepping down from her role here (which sounds a little dramatic, but we’ll allow it). We would like to find someone who enjoys interacting with people (in person, by email, and by phone), as our goal as a business is to provide excellent customer service to all individuals we interact with. We’d love it if this person enjoys computer work (that involves scheduling, emailing, opening accounts for new clients, paperwork, etc.), and we will train you on all the systems that we use (because it’s impossible to do a job well if you don’t know what’s going on!)! Not all work is done on the computer; we send out monthly birthday cards along with client communication. There will be monthly projects you would need to undertake, as well as regular office cleaning (crazy things don’t usually happen here, so that’s normally a once-a-week project). We are a financial advisory and planning business, so we do a lot of financial advisory and planning-type things: preparing for meetings by getting folders ready, entering notes into our systems after those meetings, taking care of projects for the advisor, as well as creating accounts, initiating money-movements, etc. Most importantly, we want you to enjoy this job. So, if you like interacting with people, helping them on their financial journey (or if you like the idea of doing that), and you like to laugh, this is the job for you!
Responsibilities:
Handle administrative tasks such as phone calls, creating folders and paperwork, opening accounts, etc.
Manage the calendar and schedule appointments
Greet clients before appointments and taking care of tasks for advisors during said appointments
Handle monthly tasks such as client communications and birthday cards
Maintain polite and professional communication via phone, e-mail, and mail
Taking care of the upkeep of the office (regular vacuuming, cleaning glass, taking out trash, etc.)
Requirements:
Prior administrative experience preferred
Ability to learn multiple software and CRM databases
Attention to detail
Desire to be proactive and create a positive experience for clients
Experience in the financial industry not needed but appreciated!
Salary : $25 - $30
