Job Description
Based in New York City and reporting to the Executive Director for Advancement, Metro NY, the Coordinator will provide support for the New York City based development team. The position provides critical support for NYC development efforts through daily operations and programming assistance to support and enhance donor identification, cultivation and solicitation. The position holds the primary responsibility for reconciling business expenses, budget reporting, citrus data base entry, prospect research support, retrievals and reporting, as well as development event and program support. Qualified candidates will also be leveraged for personalized outreach to thank donors, make annual giving solicitations and drive event attendance through individual outreach. Additional responsibilities include scheduling, coordination of gift proposals and reports, and maintaining office supplies.
Education and Experience
- Bachelor’s degree required.
- Experience in higher education and/or fundraising preferred.
- Demonstrated ability to work with CRM database or equivalent.
- Strong attention to detail and ability to multi-task.
- Professional or lived experience in the NYC region preferred.
- A valid driver’s license is required.
Skills and Knowledge
- Strong written, verbal, and interpersonal communication skills.
- Strong computer skills including basic and advanced functions in Microsoft Outlook, Teams, Excel, Power Point, Word.
- Ability to integrate new platforms into analytical work including Data Insights and dashboards, Microsoft Co-Pilot, Thank View, Sales Navigator, Ever True, and emerging technologies.
- Collaboration skills to navigate and contribute as a team player in a complex, professional environment.

Responsibilities
- Utilize and maintain proficiency of the CRM (Citrus) database and DataInsights to help support and track gift officer activity and pull reporting as needed to support the moves management process.
- Utilize Citrus, DataInsights, LinkedIn Sales Navigator and other technologies to support prospect research and generate referrals and leads.
- Coordinate a giving report for the market on a regular basis to provide leads to gift officers. Conduct direct outreach to thank donors, solicit annual gifts, schedule donor meetings, and encourage event and program attendance.
- Provide logistical support for curated development events and programs in the NYC Metro area. This work includes working with Director of Development Programs and gift officers to plan and execute curated One University as well as school/college and unit events and programs designed to qualify and cultivate our best prospects in the Metro NY region. Tasks include working with the Director and gift officers to set goals and strategy; create tiered invitation lists to target optimal guest lists; create invitations; coordinate event and program materials, including event logistics; record event attendance in Citrus; and execute on follow-up stewardship working with the gift officers and partners. This work may also include providing in-person support at the event, including nights, weekends, and non-business hours.
- Review and approve all financial reimbursements and credit card reconciliation for unit staff and help review budget status throughout the fiscal year.
- Maintain office supplies and collateral materials for development staff.
- Assist with scheduling and travel arrangements for NYC based development team.
- Create and maintain communication processes and systems to 1) coordinate NYC development team’s interaction with on campus partners to ensure information needed is received and utilized to support fundraising activities 2) implement a region-wide fundraising calendar to ensure awareness of fundraising activities.
- Assist with and coordinate outreach letters and emails, meeting briefings, gift proposals, donor reports, and additional correspondence as needed. Maintain accurate files relating to donors, prospects, event planning, and related activities.
Salary : $24 - $27
