Position Summary :
The primary role of an Administrative Assistant / Executive Assistant is to provide high-level administrative support for two business functions : R&D and PLM / Pipeline Marketing. This position serves as an information and communication manager for the office, supporting a highly creative environment within the cardiovascular medical device industry.
Job Responsibilities :
Perform general office duties such as ordering supplies, scheduling travel for both departments, completing expense reports, and managing calendars.
Prepare presentations, schedule customer visits and meetings, organize team-building events, and make domestic and international travel arrangements.
Conduct general administrative activities, including screening and directing phone calls.
Open, sort, and distribute incoming correspondence, including emails.
Skills Required :
Strong verbal and written communication skills, with the ability to multi-task and provide excellent customer service.
Ability to work independently, manage time effectively, and maintain organized and confidential information.
Proficiency in computer applications, such as Microsoft Word, Excel, and PowerPoint.
Expertise in managing calendars in Outlook, conducting expense reporting in Concur, and booking travel arrangements.
Experience Required : 4-6 years of relevant work experience.
Education Required : High school diploma or GED.
Additional Information :
The current assistant will be on leave for six months, providing an opportunity to learn from industry experts.
70% of the workload involves supporting the SVP for the R&D group with travel (domestic and international twice a month), expense reporting, and calendaring.
30% involves aligning events, booking travel for surgeons / doctors, and providing miscellaneous support for the PMO group attached to R&D.
The work schedule is Monday to Friday with some flexibility on hours, and it is an onsite role five days a week with the potential to reduce to four days if needed.
No overtime is expected.
