POSITION: Spare Parts Service Representative / Purchasing Agent
POSITION REPORTS TO: Spare Parts Supervisor
JOB PURPOSE:
The Spare Parts Service Representative will work with customers to process, order, package, and track spare parts orders. This position will also require receiving, distributing, and storing of products as directed in designated locations.
KEY RESPONSIBILTIES AND ACCOUNTABILITIES:
- Create quotes, sales orders, and purchase orders per customer demands.
- Tracks open orders to meet customers shipment dates.
- Maintains accurate vendor, contact, and pricing information
- Assist with locating and pulling of stock for customer requirements.
- Close open orders after shipping for invoicing.
- Prepares and maintains records of materials received and shipped including dates of transactions, locations, and other pertinent information.
- Responsible for preparing export paperwork and coordinating export shipments in accordance with company processes.
- Verifies information of shipments against bills of lading, invoices, orders or other records.
- Confirms shipping details or special instructions; expedites shipments that affect customers.
- When problems arise, resolves issues with customer, contractors or vendors.
- Validates, receives, and forwards invoices to Accounting department.
- Performs other related duties as assigned.
QUALIFICATIONS AND SKILLS:
- Two-Year associate?s degree and minimum 1 year on the job experience preferred
- Ability to work independently with minimal supervision
- Efficient time management skills
- Proficient with Microsoft Office, including Excel
- Experience with SAP preferred
- Proficient in mathematic skills; i.e., addition, subtraction, division and multiplication
- Excellent verbal communication skills both written and oral.
