Job Overview:
We are seeking a highly organized, detail-oriented, and motivated Sales Administrator / Inside Sales Representative to join our dynamic team. This combined role will focus on supporting the sales team through efficient order processing, administrative duties, and active participation in generating new business opportunities, particularly within the Latin American market. The ideal candidate will possess excellent communication skills, be a proactive problem-solver, and be comfortable managing both sales and administrative functions in a fast-paced environment.
Key Responsibilities:
Order Processing & Sales Support:
- Order Processing:
- Receive, review, and process customer orders accurately, entering them into the system.
- Ensure correct product specifications, pricing, and shipping details for timely fulfillment.
- Coordinate with warehouse and logistics teams to ensure orders are processed and delivered as per schedule.
- Monitor the status of orders and provide timely updates to customers.
- Sales Administration:
- Prepare quotations, sales reports, and customer correspondence.
- Assist in preparing and managing sales contracts and agreements.
- Maintain and update customer accounts in the CRM system.
- Process returns and exchanges in accordance with company policies.
Lead Generation & Sales Outreach:
- Lead Generation:
- Identify, qualify, and manage leads through various channels (phone, email, social media, etc.).
- Conduct outbound cold calls and follow-ups to engage potential clients in the Latin American region.
- Manage inbound customer inquiries and ensure prompt responses.
- Sales Outreach:
- Develop and execute targeted outreach strategies to generate interest and secure appointments with key decision-makers.
- Conduct product demos and presentations to highlight key features, benefits, and solutions.
- Relationship Building:
- Build and maintain strong, long-term relationships with prospects and customers, understanding their business needs and providing tailored solutions.
- Provide exceptional customer service to ensure customer satisfaction and retention.
Sales Process Management & Reporting:
- Sales Pipeline Management:
- Use CRM tools (e.g., Epicor, Leadoo) to track leads, manage follow-ups, and convert opportunities into sales.
- Document all sales activities and customer interactions accurately within the CRM.
- Sales Performance Reporting:
- Meet and exceed individual sales targets and KPIs (calls, demos, opportunities).
- Generate and analyze reports on sales activities, conversion rates, and regional trends for the Latin American market.
Customer Service & Documentation:
- Customer Service:
- Respond to customer inquiries regarding order status, product availability, and delivery timelines.
- Resolve any issues or discrepancies related to orders, working closely with internal teams to find solutions.
- Process returns and exchanges in accordance with company policies.
- Documentation & Record Keeping:
- Ensure all order-related documentation is complete and stored properly.
- Maintain accurate records of orders, shipments, and customer interactions.
- Generate and maintain reports related to sales performance and order metrics.
Collaboration & Continuous Improvement:
- Team Collaboration:
- Work closely with sales, logistics, and marketing teams to align efforts, share insights, and optimize strategies.
- Provide feedback to the marketing team for improved lead generation campaigns.
- Process Improvement:
- Suggest improvements to sales and order processing procedures to enhance efficiency and customer satisfaction.
- Stay informed about new products, services, and promotions to effectively communicate with customers.
Qualifications:
- Experience:
- Previous experience in sales administration, order processing, inside sales, or business development is preferred.
- Familiarity with CRM systems and order management software (e.g., Epicor, Leadoo).
- Experience in B2B sales, SaaS, or technology is a plus.
- Language Skills:
- English proficiency required.
- Fluency in Spanish and/or Portuguese (both written and spoken) is a significant advantage.
- Skills:
- Strong organizational skills and the ability to manage multiple tasks with attention to detail.
- Excellent communication and interpersonal skills.
- Self-starter with the ability to work independently and manage time effectively.

- Working Hours: Monday – Thursday 8:00 AM -5:00 PM Friday 8:00 AM – 2:30 PM
