Key Responsibilities:
Executive Assistant Duties:
- Provide high-level administrative support to the executive team.
- Manage and prioritize incoming communications and requests.
- Enter orders and maintain client files, records, and documents ensuring accurate data entry.
- Handle confidential information with discretion and integrity.
- Research real property records, court filings, appraisal district records, and other public record databases.
- Communicate verbally with clients with the ability to handle sensitive information and resolve client issues effectively.
- Field incoming phone calls directing inquiries to the appropriate team member or addressing them directly.
Client Services:
- Manage client accounts, including onboarding, updates, and ongoing communication.
- Provide clients with accurate and timely information regarding title research services and deliverables.
- Ensure a high level of client satisfaction by anticipating needs and exceeding expectations.
- Gather client feedback and work with the team to implement improvements based on client needs.
Qualifications:
- Proven experience in an executive assistant, legal assistant, or client services role, preferably within a title research or legal environment.
- Strong understanding of elements within and functions of a title search report.
- Excellent organizational and time-management skills with the ability to handle multiple tasks and prioritize effectively.
- Exceptional communication and interpersonal skills, with a client-focused approach.
- Strong understanding of legal terminology, documentation, and processes.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook, Teams) and familiarity with legal/property records research.
- High level of professionalism, attention to detail, and problem-solving abilities.
- Ability to work independently and collaboratively in a fast-paced environment.
Education and Experience:
- Associate's degree or equivalent experience in a related field; bachelor’s degree preferred.
- Relevant certifications (e.g., Legal Assistant Certification) are a plus.
- Minimum of 2-4 years of experience in a similar role within legal or financial industry.

Pay: $18.00 - $20.00 per hour
