We are seeking a detail-oriented and highly organized Legal Practice Assistant to support professionals within our Government Relations practice. This role will involve providing administrative assistance to attorneys and clients, managing complex schedules, coordinating travel, preparing documents, and supporting government relations events. The position plays a critical role in ensuring efficient operations and high-quality service to clients in a fast-paced, deadline-driven environment.
Key Responsibilities:
- Provide high-level administrative support to government relations professionals/attorneys and clients, including formatting correspondence, documents, and spreadsheets, and proofreading/editing materials.
- Manage complex scheduling for multiple professionals, including meetings with clients, legislative offices, and government officials using Microsoft Outlook.
- Coordinate travel arrangements (air, train, hotel, etc.) for professionals on a weekly basis through the corporate travel platform.
- Conduct conflict checks, prepare engagement letters, and open new client matters within the onboarding system.
- Assist with the coordination of government relations events, conferences, and related logistics, including catering, invitations, room scheduling, and room preparation.
- Prepare and submit expense reports for professionals.
- Maintain paper and electronic files according to firm protocols, retention policies, and document management system guidelines.
- Assist with billing and proforma review through the firm’s 3E system.
- Collaborate with other practice assistants and teams to provide general administrative assistance as needed.
- Ensure adherence to firm policies, procedures, and confidentiality requirements.
Minimum Education & Experience Requirements:
- Minimum of 3 years of experience as a legal practice assistant, administrative/executive assistant, or in an administrative support role in a legislative office or government relations setting.
- Strong organizational and time management skills, with the ability to prioritize and handle multiple deadlines.
- Excellent interpersonal and communication skills, with a focus on client satisfaction.
- Ability to work independently and as part of a team to manage schedules and support tasks.
Special Requirements:
- Proficiency in Microsoft Office Suite, particularly Word, Outlook, and Excel.
- Experience with document management systems is preferred.
Knowledge, Skills, and Abilities:
- Strong organizational skills with the ability to manage multiple tasks and competing priorities effectively.
- Excellent written and verbal communication skills.
- Ability to maintain a high degree of confidentiality and professionalism.
- Attention to detail and accuracy in document preparation and scheduling.
- Proficiency in using document management and billing systems (e.g., 3E) is preferred.
