Job Summary

Provides general-level administrative support to the Chesapeake office. We are seeking a highly organized and detail-oriented Administrative Assistant to provide essential support to our team. The ideal candidate will have excellent communication skills, the ability to prioritize tasks, and proactive approach to problem-solving. This role is crucial in ensuring smooth office operations and supporting our mission of skill-based excellence. Candidate will attend to visitors and deal with inquiries on the phone and face to face.

Responsibilities and Duties

Provides comprehensive administrative support to ensure efficient office operations, including scheduling meetings, enter trouble tickets when needed. Performs a daily Costpoint timecard audit. Oversees the management of office supplies and equipment, working with vendors and maintenance staff to ensure everything is in good working order. Inputs, updates, and maintains data in company databases and spreadsheets with a high degree of accuracy such as, office supplies, cell phones, equipment etc. Distributes incoming mail & answer phones. Greets persons entering the facility. Maintains conference rooms & schedules meetings when needed. Submits building/office maintenance requests. Ensures offices/kitchen are presentable and reception area. Creates purchase requisition. Manages and tracks key fobs. Helps assist w/travel when needed. Updates company directory for incoming & outgoing employees. Helps assist Division Administrator when needed.

Qualifications and Skills

Required knowledge and years of experience

Must have at least six (6) years of experience. Must be proficient in Microsoft Office Suite. Must have strong organizational skills. Must have the ability to multitask.
