Job Summary:
We are seeking a highly organized, detail-oriented, and proactive Operations Manager to oversee and streamline daily operations for our Customs brokerage business. The ideal candidate will possess a strong understanding of customs regulations, import/export procedures, and supply chain management. The Operations Manager will be responsible for ensuring smooth, efficient operations, regulatory compliance, and delivering excellent service to clients. This role requires effective leadership, problem-solving skills, and a deep knowledge of customs clearance processes.
Key Responsibilities:
- Operational Oversight:
- Manage the day-to-day operations of the Customs brokerage, ensuring that all shipments and transactions comply with local, national, and international regulations.
- Supervise the team of customs brokers, import/export specialists, and operations staff to ensure efficient workflow.
- Develop and implement procedures to ensure the timely clearance of goods through customs, minimizing delays and ensuring client satisfaction.
- Compliance and Regulatory Management:
- Stay updated on the latest customs regulations, tariffs, trade laws, and any changes that may impact operations.
- Oversee compliance with customs documentation, import/export laws, and trade agreements, ensuring all shipments meet regulatory standards.
- Implement and monitor processes to maintain customs compliance, including accurate documentation, record-keeping, and reporting.
- Team Leadership and Development:
- Lead, train, and motivate a team of customs brokers and operational staff to achieve performance goals and maintain high standards of service.
- Set clear performance expectations, conduct regular performance reviews, and provide mentorship for career development.
- Ensure the team has adequate resources and training to stay up-to-date on industry trends and compliance requirements.
- Client Relationship Management:
- Serve as the main point of contact for key clients, addressing concerns, providing updates, and offering proactive solutions to challenges.
- Work closely with clients to understand their customs needs and deliver tailored solutions that meet their supply chain objectives.
- Assist in the resolution of any customs-related issues, ensuring prompt resolution and minimal disruption to client operations.
- Process Improvement:
- Identify inefficiencies in customs brokerage processes and implement strategies to improve speed, accuracy, and cost-effectiveness.
- Leverage technology and software to optimize operations, reduce errors, and increase productivity.
- Collaborate with other departments (logistics, warehousing, sales) to ensure seamless coordination across the supply chain.
- Financial and Budget Management:
- Assist in budgeting and forecasting for operational costs related to customs clearance and brokerage services.
- Monitor and control costs to meet or exceed financial targets while maintaining service quality.
- Analyze operational data to identify areas for cost reduction and increased profitability.
- Reporting and Documentation:
- Prepare and present regular operational reports to senior management, highlighting key performance indicators (KPIs), operational challenges, and solutions.
- Ensure all customs documentation is accurately prepared, processed, and filed in accordance with applicable regulations.
Qualifications:
- Education: Bachelor's degree in Logistics, Supply Chain Management, Business Administration, or a related field (preferred).
- Experience: Minimum of 5 years of experience in operations management within the customs brokerage, logistics, or freight forwarding industry.
- Certifications: Customs Broker License (preferred), or relevant certifications in logistics or supply chain management.
- Skills:
- In-depth knowledge of customs laws, regulations, and compliance requirements.
- Strong leadership and team management skills.
- Excellent communication and interpersonal skills, with the ability to build and maintain client relationships.
- Strong problem-solving abilities and attention to detail.
- Proficiency in customs brokerage software and other related tools (e.g., SAP, Oracle, or similar systems).
- Ability to manage multiple priorities in a fast-paced environment.
- Financial acumen for budgeting and cost control.
