Overview
We are seeking a highly organized and proactive Office Manager to oversee the daily operations of our office. The ideal candidate will possess strong administrative skills and demonstrate effective team management abilities. This role is essential in ensuring smooth office functionality, supporting staff, and enhancing productivity within the organization.
Responsibilities
- Support payroll processes and ensure timely and accurate employee compensation. (Outsourced)
- Oversee administrative tasks including scheduling, correspondence, and maintaining office supplies.
- Billing Support
- Operate and maintain phone systems to facilitate effective communication within the team and with clients.
- Coordinate calendar management for Sales Staff, ensuring optimal scheduling of meetings and appointments.
- Plan and organize company events, meetings, and conferences to foster team engagement and collaboration.
- Supervise office management functions including facility maintenance, vendor relations, and compliance.
- Develop organizational systems to streamline operations and improve workflow efficiency.
- Follow-up calls with clients, ensuring customer satisfaction.
- Follow potential leads on social media and help support sales staff when needed.
- Maintain, and keep office space presentable
- Help Record Reciepts (Digitally: QBO)
Requirements
- Proven experience in office management or a similar administrative role.
- Strong knowledge administrative functions.
- Familiarity with phone systems and communication tools.
- Excellent calendar management skills with an ability to prioritize tasks effectively.
- Experience in planning and coordination is highly desirable.
- Knowledge of office management practices is a plus but not mandatory.
- Exceptional organizational skills with attention to detail.
- Experience in Supportive roles for various divisions.
- Proficient in using office software applications, and CRMs (e.g., Microsoft Office, Excel).
