JOB DESCRIPTION NARRATIVE:
Perform duties that are necessary to maintain an organized office. Must maintain financial records and accounts. Responsible for placing and receiving orders. Assist in collating data for and completing reports.
QUALIFICATIONS:
Knowledge:
High school graduate or equivalent. Secretarial experience, vocational training or college preferred.
Skills:
Must possess good clerical skills in filing, typing and computer/word processor. Must be willing to update computer skills as needed. Must have financial/bookkeeping skills to keep accurate records and reports. Good communication skills are needed and the ability to interact well with the public.
Machines/Equipment:
Computer, printer, copy machine, multi-line phone system, fax and calculator.
ESSENTIAL JOB FUNCTIONS:
- Count, receipt and deposit all monies for all accounts.
- Maintain financial records for all activity accounts, site accounts and Professional Development Accounts.
- Reconcile all accounts.
- Prepare requisitions, request purchase orders, place orders, receive orders, and verify invoices.
- Prepare requisitions and needed paperwork for trips, professional development for certified, support and students.
- Daily teacher and support personnel attendance.
- Monthly time sheets and end of the month attendance reports.
- Maintain needed supplies, place and receive orders as needed.
- Assist or complete all state reports and Civil Rights Reports.
- Maintain faculty handbook.
- Answer phones, take messages or transfer calls.
- Build, assign, and maintain student schedules in STI.
- Print progress reports and report cards.
- Complete the enrollment of all new students by assigning teacher and schedules.
- Coordinate spring enrollment for current students.
- Schedule site pre-enrollments for Pre-K and Kindergarten enrollment and assist with enrollment.
- Create and maintain the site’s phone tree, intercom, extension and site maps.
- Cover other office personnel when necessary.
- Coordinate and collect end of the year teacher checkout.
- Call and obtain substitutes when needed.
- Other duties as assigned by supervisor.
