POSITION SUMMARY:
Tahoma Global Logistics (TGL) is seeking qualified candidates for our Maintenance and Repair Administrator position at our port facility located in Tacoma. This position plays a critical role in supporting the container maintenance and repair estimation process. They are responsible for managing administrative tasks related to container estimates, including customer service communication, departmental coordination, processing and organizing paperwork, and ensuring the timely completion of all estimate related documentation. The administrator works closely with container estimators, the operations team, and the depot administrator to ensure smooth and efficient operations. While primarily based in the office, this role may require occasional visits to the yard or repair site to assist with data gathering or support administrative functions. This position is essential to ensure accurate and efficient processing of container repair estimates, enabling the team to provide timely service to our customers.

RESPONSIBILITIES:
- Excellent attendance for all scheduled shifts
- Process and maintain all documentation related to container estimates, ensuring all records are logged and tracked in the depot’s management system (ECTS)
- Accurately enter and update estimate data in ECTS keeping records of completed, canceled, and pending estimates organized and accessible
- Coordinate communication between estimators, customers, the depot team, and the depot administrator to ensure all necessary information is exchanged
- Email estimates and photos to customers, providing timely updates and a high level of personalized customer service
- Address customer inquiries related to estimate statuses or modifications of estimate line items
- Maintain an organized workspace, ensuring digital and physical files are accurate and up to date
- Assist with generating reports on container statuses and estimate progress to support management decision making
- Collaborate with estimators to understand necessary information for estimates
- Support the review and analysis of repair costs to ensure estimates are competitive and meet profit margin targets
- Prepare completed work orders for handoff to the depot administrator for tracking and billing, ensuring alignment with original estimates
- Identify opportunities for improvements, identify potential areas of risk, and promptly share critical business information with key stakeholders to maximize results throughout TGL
- Coordinate effective teamwork and use all company resources efficiently to promote superior financial results for TGL; maintain TGL equipment and assets to maximize return on investment
- Establish and maintain effective business relationships with all employees, vendors, business partners, government/regulatory entities, and communities in which we operate
- Strictly enforce workplace safety measures; safeguard the welfare of all employees, guests, visitors, and business partners at all times; promptly report workplace risks, incidents, injuries, and near misses; consistently wear and utilize all required PPE
- Maintain confidentiality regarding all sensitive and proprietary business information and safeguard TGL assets at all times
REQUIREMENTS:
Minimum
- 18 years or older
- High school diploma or equivalent
- Valid WA driver's license and good driving record
- 6 months experience in similar customer service oriented administrative role(s)
- Ability to enter, analyze, reconcile, and interpret business data; and enter data into business computer systems
- Ability to problem solve, effectively multi-task, and manage competing priorities to meet deadlines in a fast paced environment
- Excellent troubleshooting skills, high attention to detail, and accuracy in executing tasks
- Excellent time management skills and ability to work independently and effectively with minimal supervision
- Works well in a highly team-focused environment, with excellent written and verbal communication skills in English
- Good PC and MS Office skills
- Good interpersonal skills; able to maintain a positive work attitude and demeanor
- Culturally sensitive and works well with the full diversity of our company and community
- Ability to transport self over multi acre work site of varied terrain and climb in/out of equipment
- Ability to work non-standard hours to accommodate business needs, including nights, weekends, and holidays
- Ability to pass background check
Preferred
- Work experience in similar industry such as logistics, shipping, and/or container repair/maintenance
- Familiarity with container types, repair processes, and inspection standards such as IICL-6
