Job Summary:
As our Operations Assistant / Executive Assistant, you’ll provide high-level administrative support to our leadership while ensuring smooth coordination across candidate and client interactions. You’ll be a key player behind the scenes, supporting recruiting operations, managing calendars, and representing the firm with professionalism.
Key Responsibilities:
· Overseeing and managing administrative activities.
· Management of calendar and email, ensuring all appointments are scheduled and communications are handled promptly. Including, drafting and managing email correspondence on behalf of leadership.
· Maintaining and organizing files
· Drafting client communications, proposals, and contracts.
· Sending follow-up emails after meetings.
· Helping prep materials for client presentations or meetings.
· Monitor key deadlines and help ensure deliverables stay on track.
· Assisting with reporting and metrics.
· Maintaining CRM database.
· Sourcing utilizing various tools.
Experience: At least three years of previous experience in office management or a related administrative role (recruiting or staffing experience a big plus).

· Excellent verbal and written communication abilities
· Strong time management skills with the ability to prioritize tasks effectively
· Highly organized, with strong attention to detail
· Tech-savvy: Proficient in Google Workspace, Microsoft Office, Zoom, and ATS/CRM systems
· Proactive problem-solver who anticipates needs
· Comfortable in a fast-paced, startup-style environment
Education: A Bachelor’s degree is preferred but not required
