Summary:
Reporting to the Assistant County Manager, the Executive Assistant has a dotted line of report to Talbot County Council as well as the County Manager.
Essential Duties and Responsibilities:
Administrative Support & Calendar Management:
Provides administrative support and project coordination for the County Council, County Manager, and Assistant County Manager.
Provide general clerical duties, including answering the phone, preparing correspondence, processing incoming and outgoing mail, ordering supplies, processing invoices, maintaining
paper and computer records filing systems, and overseeing contracts for copier and postage.
Greet customers and visitors; handle citizen calls and requests, ensuring timely response and appropriate follow-up.
Proactively manage the County Council, County Manager, and Assistant County Manager’s calendars, including scheduling and coordinating appointments.
Process all requests for letterhead, business cards, envelopes, and business forms for County departments.
Meeting and Event Coordination:
Manage reservations for meeting spaces and coordinate food and beverages for meetings as required.
Arrange travel plans for meetings and conferences, including registration and hotel reservations, as well as travel reimbursement requests.
RSVP to meetings and events on behalf of the County Council, County Manager and Assistant County Manager.
Coordinate employee events (i.e. annual picnic, years of service awards, holiday events, retirement celebrations, and casual days).
Coordinate special projects and other duties and activities as assigned.
Project & Special Initiatives Management:
Assist in the implementation and oversight of county initiatives and public engagement efforts.
Coordinate bid process for County departments, including preparation of bid materials, advertising, and appropriate correspondence.
Serve as Assistant to the Animal Control Board, including attending meetings and drafting minutes.
Coordinate submittal of fiscal notes during State legislative session, working with County departments and agencies.
Assist with the preparation of County Council meeting agenda packets.
Perform related duties as to specific assignments and other duties as assigned.
Qualifications:
A High School Diploma with a minimum of five (5) years of experience in an Executive Assistant role is required. A combination of acceptable education and experience will be
considered.
Proficient in spoken and written English with strong verbal and written communication and interpersonal skills and a commitment to customer service.
Excellent organizational and time management skills with the ability to set work priorities and handle information of a confidential nature.
Knowledge of the organization and functions of county government.
Familiarity with Talbot County geography, businesses, and organizations.
Knowledge of office practices, procedures, and equipment and ability to organize and maintain a standard filing system.
Thorough knowledge of Microsoft Office applications, including Microsoft Word and Publisher.
