Job Summary:
We are seeking a detail-oriented and organized Service Billing Specialist to manage daily and monthly customer billing functions. This role requires strong time management, accuracy, and collaboration with internal teams, including operations and accounting. The ideal candidate must be comfortable handling a high volume of invoicing, ensuring compliance with customer contracts and financial guidelines.
Key Responsibilities:
Daily Functions:
- Review employee job tickets for accuracy, including work order details, time entries, and inventory transactions.
- Verify and update completed work orders, obtaining additional information as needed.
- Process equipment rental and subcontractor invoices.
- Apply correct pricing, warranty programs, and Not-To-Exceed (NTE) limits, obtaining approvals when necessary.
- Generate and process Accounts Receivable invoices, ensuring proper product codes, trip charges, and labor allocations.
- Assign appropriate travel labor costs to work orders.
- Ensure compliance with sales tax regulations based on jurisdiction and product type.
- Verify invoice accuracy in Sage software and customer portals.
- Analyze profitability reports, explaining variances and resolving discrepancies within company guidelines.
Monthly Billing Functions:
- Assist in subcontractor billing issue resolution, working with operations and accounting.
- Balance, input, invoice, and verify work orders across Sage and customer portals.
Payroll & Job Costing Verification:
- Validate employee time reporting and job costing accuracy for applicable work orders.
Qualifications & Skills:
- 2-5 years of invoicing experience (construction or service industry experience preferred).
- Strong understanding of customer contract terms and conditions.
- Basic knowledge of sales tax application.
- Proficiency in Microsoft Excel.
- Experience with cost accounting (preferred).
- Time & Materials (T&M) invoicing experience is a plus.
