Position: Project Document Controller - Contract
Role Overview:
The Project Document Controller is responsible for managing and maintaining project documentation, ensuring accuracy, quality, and compliance with company standards. This role involves organizing, storing, and retrieving documents efficiently while supporting project teams with document control processes. The position reports to the Project Controls Manager.
Location:
This role is contract-based and can be performed remotely, with potential travel to office or project sites as needed.
Responsibilities:
- Maintain and update document control procedures to ensure compliance with company and industry standards.
- Organize and manage electronic and hard copy documents for easy access and retrieval.
- Monitor and manage document revisions to ensure only the latest versions are in circulation.
- Ensure compliance with company policies, regulatory requirements, and industry standards, and assist in audits.
- Coordinate document submission, review, approval, and distribution processes with project teams.
- Implement access control measures to ensure the security and confidentiality of sensitive documents.
- Track document submissions and approvals, generating status reports as needed.
- Identify and implement improvements to document control processes to enhance efficiency.
- Provide training and support to team members on document management procedures.
Required Qualifications:
- Minimum of 3 years of experience in document control or records management, preferably in construction, engineering, or a related industry.
- Proficiency in document management systems (e.g., Aconex, SharePoint, Procore) and MS Office Suite.
- Strong organizational skills with the ability to manage multiple documents and tasks efficiently.
- Understanding of document control procedures, version control, and regulatory compliance.
- Excellent attention to detail and accuracy in managing project documentation.
- Strong verbal and written communication skills for coordination with project teams and stakeholders.
Preferred Qualifications:
- Bachelor’s degree in Business Administration, Construction Management, Information Management, or a related field.
- Experience in document control within the construction, engineering, or energy sectors.
- Knowledge of ISO 9001 document control requirements.
- Familiarity with electronic document management systems (EDMS) and cloud-based storage solutions.
- Certified Document Controller (CDC) or similar industry certification.
- Experience with workflow automation and process improvement in document management.
