Description

The Chief Operations Officer (COO) is a key leader overseeing the Museum's financial operations, human resources, risk management, and operational excellence. Reporting to the President / CEO, the COO collaborates on budget development, strategic planning / implementation, and problem resolution, ensuring the Museum's goals and priorities are met.

The COO works with department heads to implement the President / CEO's strategic vision, guiding daily operations and tracking progress on plans and initiatives. This role manages financial processes, risk mitigation, and HR functions, ensuring ethical, efficient operations are aligned with the Museum's mission. The COO fosters collaboration and accountability, delivering exceptional experiences for visitors, staff, and stakeholders.

Key Responsibilities :

Oversee and manage the Museum's financial operations, including budgeting, payroll, financial forecasting, and reporting, with a hands-on approach as needed. Lead the preparation and execution of audits, form 990, and other required tax filings, working closely with external auditors to ensure accountability, transparency, and best practices. Ensure all financial activities comply with regulatory and ethical standards, aligning with the Museum's mission and goals.

Oversee day-to-day operations across all Museum departments, including direct reports in facilities, finance, visitor services, and the Caf, as well as supporting the President / CEO's direct reports in Education, Preschool, Collections and Exhibits, Development and Membership, Animals, Marketing, and Tree To Tree Adventures, ensuring alignment with institutional priorities.

Work closely with departmental managers to optimize operational performance and ensure a seamless and high-quality experience for Museum visitors and staff.

Partner with the President / CEO and leadership team on grant development and reporting, strategic planning, and short- and long-term financial and operational goals.

Provide financial and operational reports to the Board of Trustees and act as a key liaison to relevant committees, including Finance and Audit.

Mentor and support an experienced, passionate, and creative team of departmental managers, fostering their professional growth and ensuring their efforts align with the Museum's quality and performance standards. The ability to work collaboratively with this team, appreciating their expertise and creativity, is essential to driving the Museum's success.

Develop and maintain systems, policies, and procedures to promote operational efficiency, sustainability, and excellence.

Acts on behalf of the President / CEO in their absence.

Requirements

Qualifications :

  • Commitment to and curiosity about the mission of the Tallahassee Museum.
  • Proven expertise and proficiency in nonprofit financial management, including knowledge of GAAP, accrual budgeting, and strategic planning.
  • Knowledge of non-profit governance, including experience with governing boards and a deep understanding of mission-driven organizations.
  • Demonstrated experience in operations management, human resources, employee benefits, property and liability insurance, and vendor relations / oversite (Payroll, IT, CRM).
  • Strong leadership and collaborative management skills, with the ability to mentor and empower a diverse team.
  • Creativity and the ability to think conceptually and analytically.
  • At least 6 years of financial and administrative management experience, with 2 years in a senior-level leadership position. Prior Museum or Hospitality Experience Preferred.
  • Full-time, On-site Monday-Friday, with occasional weekends and evenings.
