Summary:
Perform a wide variety of administrative duties for the TEI Board of Directors.
Major Responsibilities/Activities:
- Compose or assist in external and internal correspondence as well as other complex documents, as requested.
- Compose and prepare documents for review, signature and distribution through a variety of methods.
- Preparation of documentation such as agendas, notices, minutes, and memoranda.
- Make copies and scan correspondence or other printed materials.
- Manipulate data on existing spreadsheets and/or database software programs, utilizing various formats, as applicable.
- Maintain calendars, exercising judgment and tact in coordinating meetings and schedule appointments for internal and external guests, as well as rescheduling, when necessary.
- Prioritizes, distributes and prepares incoming and outgoing mail, including e-mail and faxes.
- Relay decisions and instructions regarding routine matters to people doing business with TEI.
- Greets scheduled visitors, receives applicants and routes visitors to appropriate areas.
- Coordinates and schedules meetings and conferences.
- Answers incoming telephone calls, screens calls and assists directly with routine inquiries.
- Participates and supports special projects. Also provides project level support, when needed.
- Be aware of business activities and events as they relate to the TEI board.
- Maintains a strong commitment to provide support for the TEI’s initiatives, programs, goals and special projects.
- Orders and maintains supplies, and arranges for equipment maintenance.
- Organizes and maintains file system, files correspondence, documents and records, as directed.
- Performs other duties as assigned.
Minimum Requirements
- Preference is given to qualified Santa Ana Tribal Members.
- High school diploma or GED required. Undergraduate Degree a plus.
- Minimum of two years experience in a similar administrative role
- Excellent written and verbal communication skills and the ability to communicate with multiple levels of management.
- Must be able to read, write, speak and understand English.
- Must have advanced Computer capabilities.
- Must have knowledge of spreadsheet software and word processing software required with use of Microsoft products including Word, Excel, Outlook, and Access preferred.
- Must be able to obtain and maintain a Pueblo of Santa Ana Gaming Regulatory Commission gaming license.
