What are the responsibilities and job description for the Associate Program Director - Expanded Learning - Sulphur Springs YMCA position at TAMPA METROPOLITAN AREA YMCA INC?
Under the direction of the Sulphur Springs Expanded Learning Senior Program Director (SPD), and in partnership with the Program Director, the Associate Program Director will provide direct leadership and oversight to curriculum development, tutoring program and staff, and the success of the PBS (Positive Behavior Support) model within the SS YMCA Afterschool Program for all participants. This position is allocated 100% to program management of all curriculum and behavior support planning with a specific focus on K-8 students and the counselors and tutors who serve those grades. The Associate Program Director serves as a liaison between the school (teachers and reading/math resource specialist) and the academic portion of the Afterschool program. This position is also responsible for the implementation of the afterschool and summer camp positive behavior systems (PBS) to provide support to students needing intervention and redirection. Positive behavior and motivation to learn reinforce student academic success. The Associate Program Director will exhibit behaviors and attitudes that are consistent with the YMCA mission and policies of the Association.
Critical areas of expertise include managing program quality, interacting with parents and school administrators, grant management implementation of curriculum programming, staff leadership, proven results in growth in programs, successfully overseeing part-time and entry-level staff teams and interviewing, hiring and onboarding staff members.
ESSENTIAL FUNCTIONS AND RESPONSIBILITIES:
Program Quality and Growth
- Academic Curriculum > Will design, manage, and implement engaging curriculum and lesson plans that align with the instruction during the school day for program participants, K-8 students and the counselors and tutors who serve those grades.
- Assess the needs and interests of individuals and groups and prepare educational program activities, accordingly, given the available materials, equipment or center.
- Develop curricula and plan course content and methods of instruction; evaluate and revise curricula as needed.
- Model and coach effective implementation of educational activities and communication/redirection of group facilitation.
- Prepare and schedule activity times to ensure participation, attendance, and daily agenda.
- Prepare and implement remedial activities for students that may require extra help.
- Meet with tutors weekly to develop lesson plans and measure student growth.
- Work with SPD and Program Director to ensure delivery of curriculum and all grant related metrics
- Behavioral Development > Provides daily direct positive behavior support to students and assist staff in developing individual positive development of positive behavior strategies for intervention with students.
- Develops and maintains collaborative relationships with school staff, students and parents.
- Support implementation of behavior documents to communicate daily student behaviors and track data for staff.
- Provide positive behavior support and interventions to group leaders during program hours
- Collect data and complete academic and behavior reports
- Work with SPD and Program Director to respond to member and participant concerns in a timely manner, ensuring a positive program experience for participants, parents and school partners. Anticipate and exceed expectations consistently throughout programs.
- Assist the SPD with achieving strategic plan targets.
- Works with grant team to submit all required grant data in a timely manner and attend meetings with funders as requested by the SPD.
- Assist in developing additional procedures and training materials for staff.
- Assists with special projects as needed.
Operations/Team Leadership
- Adhere to and ensure enforcement of program rules and communicate them positively and effectively to staff, members and program participants.
- Manages projects as assigned and coordinates all participants, supplies and scheduling necessary to complete them. Coordinates logistics for associate meetings and training as requested.
- Participates in hiring, developing, motivating and retaining a committed staff team passionate about the YMCA's mission, safety and service to members, and the Tampa Y promise.
- Creates and maintains meaningful and impactful relationships with families, school administration and staff, and community leaders and members.
- Assists the Senior Program Director to ensure documentation is current and updated, including staff member certifications, staff member meetings, and training.
- Assists with monitoring staff members and volunteers are scheduled in accordance with safety and program needs and ensures all safety and program ratios are followed.
- Follows all federal, state, county and schoolboard laws and regulations related to payroll, associate scheduling, licensing, child labor laws, etc.
- Completes all job related, supervisory and other training as required.
- Assists with special projects as needed.
Safety and Risk Management
- Ensures all Tampa Y program standards and best practices are implemented and followed. Applies YMCA policies and procedures, including those related to best practices, emergency procedures, medical and disciplinary situations and child abuse prevention.
- Ensures all program staff are properly trained and prepared for emergency situations. This includes implementing and following training requirements in addition to ensuring proper reporting of all incidents/accidents according to risk management procedures. Ensures the health and safety of all children.
- Assists in inspecting classrooms and grounds to ensure the safety, orderliness, sanitation and cleanliness of facilities.
- Assists in conducting health checks on children for health concerns, including ringworm, head lice or other health conditions and reports immediately to the Summer Camp Director.
- Monitoring youth activity in the program center and specific areas of program use.
- Reporting any items that may provide a health or safety hazard to staff, members or guests to maintenance staff.
- Immediately report any suspicious behavior and violations of policy and procedures to your supervisor.
- Monitors daily program operations to adhere to all state, local and YMCA health & safety regulations.
- Uses discretion and independent judgment in handling confidential and sensitive information in connection with the Tampa Y program responsibilities and communication to/from leadership, associates, vendors, and guests.
Assists in all areas, project teams, job tasks as assigned.
Attends all conferences, trainings, meetings, and presentations as assigned.
