What are the responsibilities and job description for the Associate Program Director, Military Families Program and Engagement - Tampa YMCA position at TAMPA METROPOLITAN AREA YMCA INC?
Under the supervision of the Director of Youth Health and Wellness, the Associate Director will be responsible for all aspects of implementation, delivery, and reporting of Operation Hero and Strong Families, and engagement/retention of Veterans and Military families and any future programs/grants assigned. The associate director will serve as the community advocate and face of the program, visiting each site periodically and spending up to 25% of time directly leading the program. The director will hire, train and manage part time staff at all sites, including instructors and community health workers, manage the budget and grant funds for the program, interact with the families and site directors, market the program and collect/report all program outcomes for grantor and all stakeholders.
ESSENTIAL FUNCTIONS AND RESPONSIBILITIES:
Member Services and Engagement
- Build relationships with the military families, responding to emails, calls, concerns and follow up with survey comments.
- Engage military members in YMCA programs and activities and train CHW to navigate converting participants to self-paid Military memberships.
- Build a team with the staff through training, development, and positive culture, thereby empowering staff to provide the best experience for children and parents.
- Assist families and sites with enrollment in the program and meet requirements of program participation.
- Track and assess participation in the program at all locations to ensure the highest level of engagement of military families.
- Manage and coach staff directly onsite to ensure staff are providing the highest quality program with the best customer service.
- Deliver the best quality program possible by evaluating the program and its curriculum as it unfolds and improving upon it.
- Recruit military families to be part of the program.
- Screen families for readiness to participate.
- Collaborate with military-rich organizations as feeders for recruitment.
Operations
- Facilitate the program as an instructor at two of the sites per session.
- Communicate regularly with facility leadership teams to provide status updates, specify any needs, and schedule meetings when needed.
- Create program rosters and enrollment information for the part time staff.
- Collect any/all enrollment forms from parents.
- Input and track data and create progress reports for participants and/or program, including but not limited to, attendance in program, fitness assessments etc.
- Grant invoicing, accounting backup, and documentation of deliverables and outcomes.
- Regular communication with on-site staff at each facility to assist with enrollment documents and procedures.
- Create reports as necessary for leadership and stakeholders.
- Monitor email, properly correspond and follow up with all parties necessary.
- Follow and enforce the association dress code.
- Ensure staff-to-children ratios, arrange substitute staff when needed.
- Ensure availability until the program, activities and trainings are over.
Safety and Risk Management
- Ensure adherence to all YMCA policies and procedures regarding the safety, health and welfare of members, program participants, guests and staff.
- Conduct daily risk management and safety audits in the program space to ensure the safety of all staff and participants.
- Track and store all medical records following HIPAA policies.
