What are the responsibilities and job description for the Talent Acquisition and Onboarding Administrator - Tampa Metro YMCA position at Tampa Metropolitan Area YMCA?
Under the supervision of the Director of Recruiting and Onboarding, the Talent Acquisition & Onboarding Administrator supports the full cycle of talent attraction, hiring and onboarding of full-time and part-time staff in support of operational objectives and the association’s strategic plan. Responsibilities include the management of job postings, internal and external, receipt and processing of hiring requests, initiation of background checks and other pre-hire processes to efficiently onboard new employees.
Critical areas of expertise include: High attention to detail, solid customer service skills, experience with HR systems or other databases, social media experience.
ESSENTIAL FUNCTIONS AND RESPONSIBILITIES:
Talent Acquisition Administration
- Creating and posting job requisitions (part and full-time)
- Posting and monitoring job requisitions to external job sites (examples: Handshake and YUSA.net)
- Monitor applications with low applicants and suggest recruiting techniques to attract candidates
- Monitor hiring manager communication to applicants to ensure timely hiring
- Monitor careers@tampaymca.org email box and respond to applicants in a timely manner
- Process hiring requests and create and send offer letters
- Initiate Level I and II background checks, issue pre-employment drug screenings when needed
- Act as backup to fingerprint candidates
- Monitor clearance status of new hires
- Schedule new employees into new hire session
- Support administration of new hire session
- Communicate with hiring manager regarding status of hires in process
Onboarding Administration
- Communicate with new hires before new hire orientation for questions, follow up and checklist completion.
Schedule full-time onboarding sessions with various speakers and ensure new hires get into a session within their first six months.

Serves as one team member in a rotation of presenters of new hire session material and must be available to work regularly scheduled weekday evening sessions of no more than one per week and ideally one every other week, and, less frequent but monthly scheduled, weekend session.
- Demands on evening and weekend availability can increase based on hiring volume or seasonal demand.
Performs other duties as assigned.
Education/ Experience Required:
- Associate’s degree preferred.
- One year of experience in human resources, recruiting or administrative setting preferred.
- Six months of experience working within an HRIS/HRMS preferred.
- Social media experience preferred.
- Very organized, attentive to detail, with excellent communication skills (verbal and written).
- Demonstrated ability to multi-task and adapt to changing contexts and priorities.
- Ability to understand, adapt to and interact with diverse people, teams, perspectives and cultures.
- Strong working knowledge of Microsoft Office; particularly Microsoft Word and Excel.
- Strong commitment to service.
Certifications/Trainings Required:
- Must obtain within 30 days of employment and then maintain current certifications in CPR/AED and First Aid.
- Maintain other required certifications as stated in the training matrix.

- While performing the duties of this job, the employee is regularly required to use a computer for extended periods of time and be able to communicate using a computer and authorized work phone/smart device
- Ability to perform all physical aspects of the position, including but not limited to, walking, standing, bending, reaching, and lifting
- The employee frequently is required to sit and reach, and must be able to move around the work environment
- Ability to lift and move a minimum of 30 pounds
- Specific vision abilities required by this job include close vision, distance vision, and the ability to adjust
- Ability to work in a variety of environments, specifically those subject to extreme humidity/dampness, heat and cold
- The noise level in the work environment is usually moderate
- This position may require the availability to work flexible hours including evenings, weekends, and holidays as needed
