We are presently hiring for a Full-Time detail-oriented and motivated individual to join our team as a Representative Payee Coordinator, ensuring that financial services provided to clients are accurate, compliant, and aligned with the organization’s mission.
Ensures the highest level of service to all Representative Payee (Rep Payee) consumers, consistent to the overall purpose of the company and the Social Security Administration. To comply with company code of ethics, confidentiality practices, HIPAA, safety and all policies and procedures.
ESSENTIAL FUNCTIONS:
Client Financial Management:
- Oversee the receipt and management of client benefits, including Social Security, Supplemental Security Income (SSI), and other income sources.
- Pay bills, manage budgets, and allocate funds for clients' basic needs, including housing, utilities, and personal expenses.
- Ensure timely and accurate disbursement of funds in compliance with SSA and organizational policies.
- Provides money management services, budgeting support and education that shall include but not limited to: payment of rent, utilities, transportation, food and personal needs, weekly or monthly bases or as needed.
- Manages the accounting system for receiving and disbursing funds on behalf of individuals participating in the program.
- Submit and review all required program forms, data information, and reports on a timely basis.
- Oversees the coordination of individuals, their families, and other professionals regarding financial skill building including, but not limited to, budgeting, vendor payments, discrepancies, and status changes.
Recordkeeping and Reporting:
- Maintain detailed financial records for all transactions related to clients’ funds.
- Prepare and submit required reports, including annual SSA Representative Payee Reports, ensuring accuracy and compliance with deadlines.
- Reconcile client accounts regularly to ensure proper fund management.
- Process all individuals’ admissions, discharges and transfers.
- Process and keep current all individuals’ redeterminations and rep-payee reports.
- Responsible for the application and continuity of individuals’ benefits.
- Generate monthly a listing of all individuals showing their current placement and any transfers or discharges that have occurred.
- Create and update a database of our individuals in order to proactively anticipate upcoming redeterminations.
- Process invoices and check requests submitted for client representative payee accounts.
Collaboration and Communication:
- Communicate with clients, caregivers, and program managers to address financial questions, concerns, or changes in client circumstances.
- Collaborate with the Billing Department to ensure accurate tracking of room and board expenses.
- Liaise with external agencies, such as SSA and other benefit providers, to resolve issues and maintain compliance.
Compliance and Auditing:
- Ensure adherence to SSA guidelines, company policies, and all applicable regulations.
- Support the Rep Payee Manager during audits and internal reviews by providing necessary documentation and explanations.
General Support:
- Assist with the intake and setup of new clients into the Rep Payee program.
- Educate clients and their caregivers about the financial processes and guidelines for managing their benefits.
- Address inquiries and resolve issues promptly and professionally.
- Maintain accounts and report to Program Managers appropriate client balances on a weekly basis.
- Maintain files for client representative payee accounts accurately.
- Assist with training of new field staff that will be responsible for assisting clients with money management.
- Performs basic administrative duties, including, but not limited to; making copies, faxing documents to various agencies, and processing incoming and outgoing mail.
