Tanner Clinic has an immediate opening for a Central Scheduling Representative.
Bilingual Spanish speaker preferred
Location: Kaysville Business Office
Hours: FT
Essential Job Responsibilities:
- Answer and make appointments for all incoming patient calls quickly and professionally, gathering enough information to schedule accurately.
- Be informed of the daily operations of approximately 100 physicians and their appointment preferences.
- Ensure proper handling of patient account alerts that may affect the patient’s visit to the clinic.
- Convey all necessary information pertinent to the appointment, i.e. insurance information, office location, date and time for appointment, instructions to bring reports or x-rays and any other description that may pertain to the appointment.
- Respond to last minute schedule changes for physicians.
- Make outbound scheduling calls as needed for Population Health Management or other reasons.
- Where not covered by automated system, make appointment reminder calls as required.
- Work within the clinic’s EPM system and have a working knowledge of the EHR system.
- Maintain strict patient, computer, and company confidentiality.
- Maintain professional interaction with providers and all employees.
- Other duties as assigned.
Education: High school diploma or equivalent.
Experience: Central scheduling representative experience preferred. Previous healthcare experience and/or familiarity with medical terminology helpful.
Other Requirements:
- Possess proficient working knowledge of Microsoft Suite and other computer programs.
- Possess strong verbal communication skills.
- Ability to maintain a professional demeanor during stressful or emergency situations.
- Ability to demonstrate compassion, courtesy and respect to all patients and their families.
Performance Requirements:
Knowledge:
- Knowledge of medical terminology and organization services.
- Knowledge of individual responsibilities to accurately direct callers.
- Knowledge of laws and guidelines regarding medical records maintenance, confidentiality and release.
Skills:
- Ability to use multi-line phone system, including transferring calls and paging.
- Adequate hearing to answer phone and speak with patients.
- Ability to speak clearly and loudly enough to be heard by callers and patients.
- Possess pleasant and effective written, verbal and telephone communication skills.
- Basic computer skills.
Abilities:
- Elicits appropriate information to handle calls or route calls to the appropriate person.
- Prevents, calms, or defuses irate callers and patients by working with them to identify concerns and properly directs calls.
- Ability to maintain a professional demeanor during stressful situations.
Equipment Operated: Standard office equipment including computers, fax machines, copiers, printers, telephones, etc.
Work Environment: Position is in well-lighted office environment.
Mental/Physical Requirements: Involves sitting approximately 90 percent of the day, walking or standing the remainder.
