Job Description: We are seeking an experienced Accounting Associate for our boutique accounting firm to help us grow. The Accounting Associate is responsible for ensuring that comprehensive payroll and general accounting are completed for various client companies throughout the month.

This position requires a high level of integrity, confidentiality, attention to detail, and accuracy. We are looking for someone who is a self-starter and motivated and can work independently to achieve tasks.

We are searching for someone to promote our mission statement to collaborate with clients to facilitate financial understanding and growth. We can aid your career development by expanding your comprehension of payroll and bookkeeping and tax and consulting for any employee interested in these areas who show an aptitude.

We offer paid vacation, paid holidays, and a flexible work schedule with schedule negotiable. We are looking for someone between 32 to 40 hours per week—some overtime is available but not required. We believe in work life balance.

Job Duties include

  • Administrative Skills: Manage workflow and ensure deadlines are met and work is finalized. Handle administrative requests/queries from the executive team. Assist in developing, updating, and maintaining office policies/procedures, contact lists, etc., for the further development and growth of the company. Manage workflow software and help develop checklists and improvements as needed. Maintain a proper filing system [virtual].
  • Proficient in various platforms with the ability to type, scan and complete multiple forms (Microsoft 365, QuickBooks, JetPack, etc.)
  • Manage and update client files in QuickBooks.
  • Maintain all accounting systems accurately.
  • General Bookkeeping Skills: post and reconcile client bank accounts, loans, and payroll; reconcile books to tax return; develop and oversee chart of accounts. Verify and properly categorize expenses per best practices. Maintain client portal.
  • Communicate with clients to ensure accurate information professionally and respectfully.
  • Full Payroll Skills: Set up client data files, file appropriate federal and state forms, and do electronic filing. Catch inconsistencies and problem-solve payroll variances. Distribute employee stubs within designated timeframes for each client. Oversee, reconcile and manage all clients' pay periods, hourly wages, salaries, overtime, sick days, and vacation days of employees; payroll deposits, garnishments, and pension plans. Prepare and reconcile quarterly and annual payroll reports. Alter tax status and update employee files whenever applicable.
  • File quarterly returns for all payroll clients.

Education and Qualifications

  • Certification or an Associate's degree is preferred.
  • Experience executing a complete payroll, filing quarterlies, and general bookkeeping is strongly preferred. Pay will depend on the training needed in these functions.
  • Highly proficient in computer skills, various software, and technology.
  • Accurate and meticulous in data entry.
  • Strong clerical, administrative and general office skills.
  • Advanced organizational and time-management skills.
  • Able to sit or stand in front of a computer to complete work during scheduled hours.
