Position Overview:

The Taylor Conservatory Foundation is seeking a passionate and creative Director of Events to manage event sales and coordination of our outdoor botanical garden spaces. This role is perfect for an individual with a background in event planning, sales, and marketing, who thrives in a dynamic and nature-inspired setting. The Director of Events will be responsible for generating income through venue rentals, building key relationships with community partners, and ensuring an exceptional experience for clients and event attendees.

Key Responsibilities:

Sales & Client Relations

  • Proactively seek and develop relationships with corporate and private clients.
  • Communicate and collaborate with the Executive Director on strategies and event planning.
  • Coordinate with external event vendors to manage logistics, including documenting and scheduling deliveries, pickups, and setup requirements based on event size and needs.
  • Set, achieve, and exceed financial targets for event revenue.

Event Coordination & Execution

  • Track and document leads, sales, follow-ups, and bookings.
  • Provide detailed event plans and schedules to ensure seamless execution.
  • Assist in scheduling and overseeing event support staff, working closely with the Executive Director and Director of the Gardens.
  • Monitor event costs, analyze trends, and adjust pricing to maximize revenue while ensuring customer satisfaction.
  • Lead venue tours for potential clients and maintain an up-to-date venue portfolio that highlights the space and available amenities for client review.

Marketing & Promotions

  • Attend wedding shows and bridal shows to promote weddings and private events.
  • Work with the Executive Director and Social Media Coordinator to create compelling marketing content.
  • Provide regular updates to the Executive Director of current event offerings, promotions, and testimonials.

Additional Duties

  • Perform other tasks as needed to ensure the success of the Conservatory’s event programming.

Required Skills & Qualifications:

  • A positive, service-driven, and professional attitude with a passion for event planning.
  • Highly organized and detail-oriented, able to manage multiple projects simultaneously.
  • Strong networking and relationship-building skills with corporate and private clients.
  • Ability to work weekends and occasional evenings as needed.
  • Excellent written and verbal communication skills for presentations, sales pitches, and negotiations.
  • Strong analytical skills to track trends and optimize event revenue.
  • Ability to work well under pressure, use initiative, work independently and prioritize tasks effectively.
  • Proficiency in Microsoft Word, Excel, Google Mail, and marketing tools such as Facebook, Instagram, Pinterest, Canva, Adobe Photoshop, SEO, Google My Business, and Google Analytics, Docusign, Monday.com, etc.
