SUMMARY
We are seeking an Office Manager to join our team at Taylored Elements Construction in Ashland, Oregon. In this pivotal role, you will oversee daily office operations, ensuring efficiency and organization while supporting our mission of sustainable home building.
RESPONSIBILITIES
- Create and maintain a welcoming office environment for clients and guests
- Answer phones and appropriately handle inquiries
- Accept and process mail daily
- Manage office supply and company branded apparel inventory
- Prepare, send and receive lien waivers at completion of projects
- Order and receive job materials including door hardware, plumbing fixtures, etc.
- Prepare, send and monitor Bid packages and Purchase Orders to subcontractors and vendors
- Review labor hours to ensure accurately recorded
- Set up and manage jobs in BuilderTrend software including photos, documents, estimates and Selections
- Prepare and obtain necessary building permits
- Assist with preparing Scopes of Work
- Assign subs and vendors to schedule items in BuilderTrend
- Weekly review of job budgets and present issues/overages to Project Manager
- Prepare and send Change Orders as requested
- Take job site photos
- Other misc. tasks as assigned
QUALITIES AND QUALIFICATIONS
- Proven experience in office management or a similar administrative role.
- Strong proficiency in Google Suite and computer literacy is essential.
- Excellent organizational skills with attention to detail.
- Ability to manage multiple tasks efficiently in a fast-paced environment
- A valid drivers license and ability to be covered by company insurance is required
PHYSICAL REQUIREMENTS AND WORKING CONDITIONS
Duties are performed indoors in office environment and require the ability of an individual to perform the various mental and cognitive activities most closely associated with the ability to stay focused, recall information, and to problem-solve.
