Description:

Seeking a receptionist/ administrative assistant for a property management group located in Old City Philadelphia. This is the perfect position for someone interested in property management and there is opportunity for growth within the organization. This is a full-time position, that offers medical & dental benefits, paid time off, paid holidays and a 401(k) with an employer contribution. We are a team orientated environment looking to add that next individual to our team!

Position Purpose:

To provide prompt and efficient administrative level administrative support to the TCS Management & Madison Parke office & staff.

Duties and Responsibilities

  • This individual is responsible for administrative support functions as they relate to daily office functions.
  • Maintain a presence at the front office desk, where responsibilities include answering the intercom system and escorting guests to our office, responding to incoming company phone calls and directing calls to the appropriate team member and greeting guests.
  • Maintain reception area and all common areas in a clean and tidy manner at all times.
  • Maintain and manage the office kitchenette, including replenishing supplies and maintaining an organized & clean area.
  • Sorting and organizing mail for the building and delivering mail/packages to the appropriate floor. This includes sorting mail for our family of companies and delivering mail to the appropriate staff members.
  • Assist with maintaining records and documents in cloud based software.
  • Assist with accounts payable and accounts receivable, including entering rent payments, utility payments and processing invoices for payment & billing, with the support of the Accounting Team.
  • Contribute to further development of internal controls & general office functions.
  • Perform special projects and duties as required or requested.

Skill Requirements

  • Previous office experience is preferred, but not required.
  • Strong work ethic, positive attitude, and good judgment.
  • Must be highly detail-oriented with strong analytical skills.
  • Desire to work as part of a team with a strong focus on client needs.
  • Excellent communication and listening abilities.
  • Organizational skills; ability to manage projects effectively and on-time.
  • Ability to exercise discretion and maintain confidentiality.
  • Ability to handle multiple tasks/assignments.
  • Punctual attendance.

Position Requirements

  • Education: High school diploma or GED required.
  • Experience: At least 1 year’s work experience in a relevant field.
  • Ability to read, write & speak English. Spanish a plus.
  • Physical: Ability to lift, push and pull up to 40 pounds.
