Job Summary
Our Billing Specialist for our Service Dept., creates and processes documentation related to billing. Oversees billing processes and maintains customer work orders, billings, accounts, troubleshooting, and resolves customer complaints. Identifies solutions that address billing issues and presents appropriate resolution options to customers.

Essential Duties
- Handles customer’s administrative needs and requests, delivers exceptional service to meet or exceed expectations.
- Provides technical assistance to Partners as needed.
- Communicates effectively to guarantee prompt and responsive services to the customer’s immediate and long-term needs. Resolves issues within their capability; escalates issues outside capability.
- Reviews, interprets, and processes work orders, invoices, credits, service project billings and correspondence.
- Audits, reviews, and closes all work orders ensuring accuracy, in alignment with established standards and business goals. Ensure accuracy and completeness of billing information.
- Apply and verify the cost impact of work processed and ensures any billable item is approved and directed to the correct customer.
- Resolves discrepancies and handles special billings as needed (i.e., progress billings, parent/child work orders, AIA documentation, etc.)
- Troubleshoots the gross margin analysis report and tech production report.
- Ensures all weekly, monthly, and annual customer service and accounting processes are followed according to company procedures/deadlines with accurate and timely results.
- Builds and maintains relationships with internal and external customers.
- Maintains a system of customer documentation requirements and adherence processes for all aspects of the service call process. Starts with customer requests through billing, including use of customer portal procedures.
- Reviews current processes/procedures and provides feedback to improve and strengthen the customer experience and increase overall efficiency.
- Other duties as assigned.
Minimum Requirements
- Minimum of 3 years of billing experience
- High School Diploma or GED.
- Strong phone contact handling skills and active listening.
- Ability to multitask, prioritize, and manage time effectively.
- Excellent communication and customer service skills.
- Strong attention to detail.
- Understanding of commercial service billings, financial tasks associated with project transactions, and cost and revenue reconciliations.
- Customer Portal and Invoice Portal experience preferred.
