The right candidate will be able to quickly learn and adapt to the needs of the role and ensure compliance with shipping export regulations and the shipping process. Key Responsibilities :
ORDER FULFILLMENT ASSISTANCE
- Assisting with vendor follow-up and notifying the sales team and customers of order status.
- Helping with tracing cargo, requesting warehouse receipts / packing lists from freight forwarders, and electronically receiving product in the ERP.
DANGEROUS GOODS SHIPMENT ASSISTANCE
Assisting to check the packing and labelling of any Dangerous Goods to be exported, according to U.S. Hazardous Material Regulations (U.S. HMR) and the various international agencies that control the transportation of Dangerous Goods (IMDG, ICAO & IATA).Helping with issuing export documentation to accompany any Dangerous Goods being shipped, as required.Assisting with maintaining the various Hazardous Materials / Dangerous Goods databases.FREIGHT QUOTE ASSISTANCE
Helping to determine the best shipping method based on piece count, weights and dimensions, origin, destination, and value of the goods, among other criteria.Requesting air, ocean, courier, or common carrier quotes from the appropriate third-party entities, as required.Assisting with checking the quotes received to ensure they are correct and include all necessary information.Providing air, ocean, courier, or common carrier quotes to the Sales team as needed.SALES ORDER DISPATCH & INVOICING ASSISTANCE
Helping to verify the number of sales orders to be shipped to each customer, to determine if they require consolidation.Checking piece count, weight, and dimensions, entering freight charges and shipping / tracking information in ERP.Assisting with processing the required shipment documentation utilizing ERP and other programs, including the invoice, packing list, USPPI, IMO, SDS, COO and any courier labels / AWBs. Sending relevant documents to the customer and / or freight forwarder and sales team.Helping the Logistics team with expediting dispatch processes and ensuring orders leave our warehouse on time and in compliance with all domestic and / or international regulations.Assisting with the daily report for UPS.FREIGHT INVOICE REVIEW ASSISTANCE
Helping with reviewing freight invoices to ensure the charges on the freight bill match the amount quoted.Assisting with disputing any discrepancies with the freight provider issuing the invoice.Helping to ensure the reviewed invoices are submitted to the Logistics Supervisor for final approval by the indicated due date.RESPONSIVE & PROACTIVE CUSTOMER SERVICE
Assisting other members of the logistics team as needed.Responding to logistics-related inquiries.Filing sales order paperwork.Assisting with daily delivery document preparation as needed.Collecting and distributing reports and internal documents.Answering the telephone promptly, directing calls as needed.Contacting customers regarding updates and follow-up, via phone and email.Providing friendly, courteous, and prompt service.Communicating efficiently, accurately, and positively with customers and partners.E-mailing necessary documents to customers and / or freight forwarders.Assisting with communicating with freight forwarders / carriers and vendors.Liaising with Sales and Warehouse personnel to assist with order fulfillment.OTHER REQUIREMENTS FOR THIS ROLE
Positive, enthusiastic, and flexible attitudeTeam player mentality.PC literate - Windows Office required (Dynamics 365 a plus)Strong communication skills.Strong organizational skills.Customer service and / or administrative experience a plus.Import and / or export logistics experience minimum 1 year (required).Language skills a plus (Spanish).High school education or equivalent (required).Ability to attend company training programs including seminars on campus and elsewhere in Florida, both in and out of normal working hours.Consistent attendance and reliability.Positive performance reviews.Contribution of suggestions for improvement.A willingness to do what it takes to get the job done.Involvement in continuous education and training, to improve knowledge of regulations and processes.Compliance with established protocols and procedures.Education & Training :
