Summary
The Accounts Receivable Specialist is responsible for ensuring all hotel reservations, excluding military lodging reservations, are entered into our accounting system correctly prior to invoicing our clients. This includes ensuring THS was charged correctly by hotels and matches what was requested by our clients. The position will require a strong attention to detail, excellent communication skills, and the ability to work independently as well as part of a team. This role is required to be in office in New Braunfels, TX.
Essential Position Functions
Folio Collection
- Generate a daily report on hotel check-ins and check-outs
- Call all necessary hotels to confirm guest check-ins / check-outs
- Notify reservations team of any date discrepancies found
- Obtain folios (receipts) from hotels when needed (weekly, monthly, or at checkout)
Reconciliation
- Account for all credit card charges shown on corresponding card
- Review email communication done by the reservations team with both hotels and clients
- Ensure all information was entered correctly in the accounting system, matching the system to THS emails
- Create billing packets to encompass reservations details, including a guest roster and accompanied folios.
Hotel Relationship
- Maintain positive working relationships with hotels
- Promptly resolve any hotel billing issues and escalate issues to management when needed
- Submit payment request for direct bill hotels
Compliance
- Set up new properties, units, and reservations in the accounting system
- Update the accounting system with any necessary changes to current reservations
- Obtain any missing Hotel Occupancy Tax forms for cities / counties within Texas
Minimum Position Requirements
Education: High School Diploma or GED equivalent
Prior experience: Two to Four years accounting experience required
Verbal and written communication skills required
Attention to detail is required
Proficiency in MS Office applications, especially Word, Excel
Ability to maintain confidentiality and handle sensitive information with discretion.
