Essential Duties And Responsibilities
- Direct supervision and leadership of HM Managers, Supervisors, and Site Coordinators
- Coordinates the annual goal-setting process and provides regular feedback to HM Leadership and their teams related to results and opportunities for improvement.
- Facilitates the development and implementation of hospital medicine Site Coordinator work processes, makes recommendations for increased efficiencies and effectiveness, identifies and implements operational best practices across the organization, and ensures standardization across TeamHealth. Includes follow-up and tracking procedures to ensure best practices are implemented.
- Develop and maintain the Hospital Medicine Site Coordinator Manual; manage the roll-out of new processes and facilitate training on these processes.
- Ensures that HM Site Coordinators are knowledgeable regarding chart flow standards and TeamHealth policies, have strong interpersonal skills to collaborate with providers, are able to analyze and act upon business reports related to individual providers and facilities, and can effectively prioritize their activities.
- Offers formal and informal training; completes performance evaluations and assists in setting goals for HM Site Coordinators.
- Coordinates start-up procedures of new billing contracts with the billing department and client services.
- Works closely with Health Care Financial Services (HCFS) leadership.
- Coordinates hiring, training, disciplinary actions, and terminations of HM Site Coordinators.
- Oversees work schedules and monitors and approves PTO for HM Site Coordinators in accordance with TeamHealth policy.
- Communicates TeamHealth policy changes to staff in a timely manner and is available and/or seeks assistance from Human Resources to answer questions relative to corporate policies and procedures.
- Communicate daily and/or weekly with HM Site Coordinators in order to remain abreast of work processes, collection progress, potential problem areas, etc.
- Interacts with various hospital personnel, as needed, to facilitate the charting process and allow for billing of the provider's services rendered.
- Understands and utilizes the Escalation Policy concerning outlier providers and lack of improvement after appropriate education efforts have been exhausted.
- Provides oversight for resolution of outstanding charts pending completion by facility, physician or chart capture.
- Initiate proactive communication with the Billing Center, the Client Services Manager, Medical Director, Regional Medical Director, and the facility to resolve issues that impede effective chart management processes.
- Responsible for creating and maintaining effective relationships with key facility personnel responsible for medical record systems and other ED-related systems.
- Utilizes established metrics reporting to evaluate staff and departmental performance outcomes and presents summary findings to leadership in a way that will promote dialogue and discussion for continuous improvement.
- Provides regular feedback to staff regarding strengths and provides actionable feedback when individual performance declines.
- Evaluates process improvement opportunities. Participate in the design, implementation, and evaluation of performance improvement activities and efforts.
QUALIFICATIONS / EXPERIENCE:
- Bachelor’s Degree in Business or related field preferred or equivalent education and work experience
- Management experience required; preferably 5 years;
- Working knowledge of billing operations and/or business office operations preferred;
- Strong analytical and statistical skills and experience. Must be results-oriented;
- Leadership, teamwork, and the ability to influence and develop others;
- Good computer skills (Excel, Word, PowerPoint, and database management);
- Excellent judgment and decision-making skills are required;
- Excellent interpersonal skills;
- Excellent verbal and written communication skills;
- Excellent organizational and time management skills;
- Ability to support multiple employees, tasks, and deadlines;
- Ability to handle stress and conflict;
- Ability to work independently with minimal direction and supervision.
