Primary Function
Under the general supervision of the Senior Officer, Creative Strategy and Operations, this role assists with the project management and operational business activities of the Division. The project manager focuses on managing Creative projects (Brand & Design, Feature Video, Photography, Broadcast & Audio Visual), ensuring projects are produced and delivered on time.
This role is 80 percent remote, with expectations to be onsite a few days per month; the project manager must be onsite the week before, and week of the Spring and Annual Meetings (held in April and October).
The role is housed in the CSF (Corporate Services and Facilities) Department, in the Creative Solutions Division.
Duties & Responsibilities
- Manages a portfolio of projects from inception to completion, including activating projects in Workfront (project management system), allocating relevant resources in consultation with Creative Leads, liaising with clients on various inputs, and delivering final products.
- Reviews incoming project requests, assigns target resource allocation, tracks resource utilization and manage client review cycle.
- Attends kickoff meetings to document outcomes and develop production timeline, in coordination with Creative Lead.
- Monitors project timelines; flags any projects that are behind or need to be expedited.
- Identifies and ensures production of all relevant products needed for a specific event or publication, across all workstreams (design, photo, video, live events).
- Reviews projects to ensure clients have provided necessary assets and approvals for work to be completed on time; responds promptly to client inquiries and internal team questions.
- Partners with clients on printing of their products—provides specifications, guidance on timelines and payment.
- Troubleshoots proof issues in Workfront, and assists clients with using platform to approve proofs.
- Liaises with event producer to ensure necessary assets are created, approved, and delivered.
- Coordinates procurement of services required to deliver projects such as printers, freelance talents, makeup service, content purchase and merchandise developers. Communicates cost implications to internal clients for smooth invoicing.
- Serves as backup to Divisional Assistant to ensure incoming emails to the Division are monitored and handled appropriately.
