Attributes/Skills
- Answer and transfer phone calls, screening when necessary. Welcome and direct visitors and clients.
- Maintain filing systems as assigned.
- Maintain office supplies and coordinate maintenance of office equipment. Respond to and resolve administrative inquiries and questions.
- Coordinate and schedule travel, meetings, and appointments for managers or supervisors.
- Retrieve information as requested from records, email, minutes, and other related documents; prepare necessary documents. Prepare agendas and schedules for meetings.
- Record and distribute minutes or other records for meetings.
- Maintain a system for recording expenses and the use of petty cash.
- Translate various business documents from Japanese to English or English to Japanese.
Sales Support
- Manage sales tracking tools and report on important information.
- Process sales orders, quotations, purchase orders, invoices, etc.
- Maintain an accessible and organized filing system for sales and administrative staff.
- Compile daily lists of leads and delegate them to sales team associates.
- Answer customer inquiries, schedule meetings and sales appointments, and follow up with customers about their order status. Manage customer accounts and follow up with customers.
- Support operation of the corporate E-commerce program.
Executive Assistant
- Provide high-level administrative support and assistance to the Executive Director and/or other assigned leadership staff.
- Perform clerical and administrative tasks including drafting letters, memos, invoices, reports, and other documents for senior staff.
Inventory Management
- Maintain an accurate running inventory.
- Enter purchase order data in the inventory control system.
- Accept, verify, inspect, and record all deliveries according to policy.
- Handle complaints related to shipments; notify supervisor of any shipping or receiving issues.
Education / Work Experience
- High school diploma or general education degree (GED) 1 to 3 years of customer service or sales experience.
Attributes/Skills
- Must be professional, flexible, detail oriented, and self-motivated with a high level of initiative. Strong communication skills and basic math skills are required.
- Native level English language skills for both oral and written communication.
- Japanese-language skills -intermediate (Preferred but not required)
- Computer skills, including experience with Microsoft Word, Excel, and PowerPoint.
- Ability to multi-task and prioritize assignments.
